Job Description

Are you an organized professional with a passion for trucking and fleet management? The American Trucking Associations is seeking a Part-Time Fleet Compliance and Maintenance Coordinator (Coordinator) to help ensure that our fleet of company vehicles remains safe, compliant, and efficient.

This role is perfect for a highly organized professional with a strong knowledge of trucking and the trucking industry, attention to detail, and a knack for managing schedules and documentation. This position also requires the ability to collaborate with schedulers, drivers, and service providers to keep the fleet running efficiently.

The Coordinator will work 15 to 20 hours per week. There may be opportunities to work additional hours some weeks, as needed and available. This position is fully remote, unless the Coordinator prefers to work partially or fully in-office.

This position has no supervisory or budgetary responsibilities.

Key Responsibilities
Fleet Compliance & Documentation
  • Manage and track medical certificates, Commercial Driver’s Licenses (CDLs), and Driver Qualification Forms.
  • Prepare and submit Monthly and Quarterly Fuel Tax Filings (1 hour per quarter).
  • Oversee International Registration Plan (IRP) renewals, including DMV visits as needed.
  • Ensure all required paperwork is up-to-date and accurate for each truck in the fleet.
  • Verify that all drivers submit their 7-Day Statements after events.
Inspections
  • Schedule and coordinate state truck inspections, ensuring trucks are available within the appropriate state.
  • Arrange DOT tractor and trailer inspections at approved locations at least once per year.
  • Work with the scheduler to avoid conflicts with event schedules.
Maintenance Coordination
  • Regularly review Driver Vehicle Inspection Reports (DVIR) from Electronic Logging Devices (ELDs).
  • Assess truck maintenance issues to determine if repairs can be handled internally or require external service.
  • Coordinate with corporate partners for approvals before scheduling repair appointments.
  • Research and select appropriate service locations for required repairs.
  • Collaborate with the scheduler to minimize downtime and disruptions to event schedules.
  • Obtain approval for repair costs before proceeding with repairs.
  • Work with the scheduler and Captains to arrange the pick-up and drop-off of equipment.

Other duties as assigned.

Experience
  • 2+ years of experience in the trucking industry required.
  • Experience with safety and compliance is a plus.
  • Experience with fleet management is a plus.
  • Association experience is a plus.
Skills
  • Familiarity with FMCSA compliance and federal motor carrier safety regulations.
  • Experience with Fleetworthy software, Solera, and Platform Science is a plus.
  • Proficiency in Microsoft Office Suite (Excel, Word, etc.).
  • Strong organizational skills, time management, and attention to detail.
  • Ability to work under tight deadlines while maintaining accuracy.
  • Must be able to work independently as well as collaborate effectively within a team.
