Job Description

We are seeking a Part-Time Executive Assistant to provide administrative and organizational support to a growing, mission-driven organization. This individual will work closely with leadership to help manage day-to-day office operations, scheduling, communications, community outreach, and special projects.

The ideal candidate is organized, dependable, professional, self-motivated, and comfortable working independently . This position requires someone who can manage multiple priorities, communicate effectively, maintain confidentiality, and take initiative when needed.

Responsibilities
  • Provide general administrative and executive support to leadership
  • Manage calendars, schedules, meetings, appointments, invitations, and RSVPs
  • Answer phone calls and emails, respond to inquiries, take messages, and greet visitors professionally
  • Perform general office duties including filing, data entry, typing, copying, scanning, mailing, and maintaining records
  • Maintain accurate information in computer systems and CRM/database platforms
  • Monitor and organize incoming correspondence and mail
  • Maintain office supplies and assist with ordering as needed
  • Prepare meeting materials, reports, agendas, newsletters, and other communications
  • Assist with community outreach, marketing, social media, and organizational communications
  • Help coordinate meetings, events, projects, and other activities
  • Assist with event planning and logistics
  • Support fundraising, grant research, community partnerships, and outreach initiatives
  • Maintain organized contact lists and other administrative records
  • Communicate professionally with leadership, board members, clients, partners, vendors, and members of the community
  • Maintain confidentiality when handling sensitive information
  • Follow organizational policies and procedures
  • Take on additional administrative responsibilities and special projects as needed
Requirements
  • Previous administrative, executive assistant, office assistant, or related experience preferred
  • Strong organizational and communication skills
  • Proficiency with Microsoft Office, including Outlook, Word, and Excel
  • Comfortable learning new computer systems and software
  • Ability to multitask and prioritize competing responsibilities
  • Strong attention to detail and accuracy
  • Self-motivated and capable of working independently
  • Dependable, reliable, and professional
  • Ability to follow instructions while also taking initiative
  • Strong interpersonal and customer service skills
  • Ability to maintain confidentiality
