Ponte Vineyard Inn in Temecula, CA is seeking a Corporate Group Sales Coordinator to manage the full lifecycle of corporate group room bookings—from inquiry to post-stay follow-up. This role handles Hotel Rooms group business; meeting space and events are managed by PW Special Events.

Compensation: $25.00-$28.00 hourly. Ideal candidates have sales or hospitality experience, strong written and verbal communication, and high attention to detail, with proficiency in Word, Excel, Outlook, and Webrez

Qualifications

• Prior sales, hospitality, or reservations experience preferred.
• Strong written and verbal communication skills; comfortable managing multiple inquiries and deadlines.
• High attention to detail and accuracy, particularly with financial transactions and contractual documents.
• Proficiency in Microsoft Word, Excel, and Outlook.
• Experience with Webrez Pro or a similar PMS/CRM platform preferred but not required.
• Ability to work independently, follow standard operating procedures.

Responsibilities

• Serve as the primary point of contact for all Hotel Rooms corporate group inquiries.
• Apply the 10-room-night minimum and seasonal Saturday policies to determine accommodation or alternatives.
• Review requested dates against Webrez Pro availability and count room types accurately.
• Respond to inquiries within 48–72 hours via phone, email, TripleSeat, or Cvent using templates and pricing.
• Prepare and edit Booking Agreements from approved templates with accurate terms and billing.
• File and maintain Booking Agreements in SharedDrive by year and status.
• Track agreements through signature and route edits to Management for approval.
• Create and maintain Group Folios in Webrez Pro with correct pricing and allocations.
• Update folios after signed agreements and deposits; move from pending to secured.
• Process group deposits, transfer folio balances, and generate invoices/SOAs.
• Build group reservations from rooming lists received 30 days prior and flag VIPs.
• Coordinate with Front Desk, Accounting, and Hotel Management for accurate billing and service.
