Responsibilities

  • Coordinate donor stewardship activities including thank-you communications, donor recognition efforts, impact updates, and engagement touchpoints.
  • Maintain accurate donor, alumni, and partner records within the CRM/database system.
  • Draft donor acknowledgment letters, stewardship communications, event correspondence, and donor-facing materials.
  • Assist with planning and coordination of donor cultivation activities, alumni engagement efforts, and Foundation-sponsored events.
  • Support budgeting, purchasing documentation, and reconciliation processes as requested.
  • Collaborate with internal departments to ensure alignment of donor and partnership information across the institution.

Position Overview

The Coordinator, Donor Relations & Data Management serves as akey operational and relationship-support role within theAdvancement/External Affairs division. Under the direction of theDirector, Development & Strategic Partnerships, this positionsupports the College's fundraising, donor engagement, alumnirelations, and strategic partnership efforts through a combinationof relationship coordination, stewardship support, CRMadministration, and operational execution.

This position requires a unique blend of interpersonal strengthsand technical capability. The successful candidate must be highlyorganized, detail-oriented, service-minded, and comfortable workingboth behind the scenes with data and directly with donors, alumni,industry partners, and community stakeholders. The coordinatorplays an essential role in ensuring donor information is accurate,engagement activities are coordinated effectively, and stewardshipefforts reflect the professionalism and mission of theCollege.

The position supports the College's commitment to student success,community engagement, philanthropy, and institutional effectivenessby helping strengthen relationships that generate scholarships,workforce partnerships, program support, and communityinvestment.

Essential Duties & Responsibilities
Donor Relations & Stewardship
  • Coordinate donor stewardship activities including thank-youcommunications, donor recognition efforts, impact updates, andengagement touchpoints
  • Serve as a welcoming and professional point of contact fordonors, alumni, and community partners, ensuring high-qualitycustomer service and responsiveness
  • Assist with planning and coordination of donor cultivationactivities, alumni engagement efforts, and Foundation-sponsoredevents
  • Support execution of Advancement events including the annualGala, scholarship breakfast, donor receptions, annual fundraisingevents, President's Circle activities, and community engagementinitiatives
  • Maintain ongoing communication and follow-up processes thatstrengthen donor and partner relationships
CRM & Data Management
  • Maintain accurate and current donor, alumni, and partnerrecords within the College's CRM/database system
  • Enter, update, audit, and manage donor and engagement data toensure data integrity, consistency, and usability for reporting andstrategic planning
  • Track donor interactions, stewardship activities, engagementhistory, and partnership progress within the CRM platform
  • Generate reports, dashboards, mailing lists, and activitysummaries to support fundraising operations and leadershipdecision-making
  • Assist in monitoring donor pipelines, sponsorship tracking,scholarship support activity, and partnership engagementmetrics
Communications & Administrative Support
  • Draft donor acknowledgment letters, stewardship communications,event correspondence, and donor-facing materials under thedirection of the Director
  • Assist with preparation and coordinate distribution ofnewsletters, invitations, impact stories, annual reports, andpromotional materials
  • Support preparation of briefing materials, presentations,proposals, and engagement plans for executive leadership and donormeetings
  • Coordinate scheduling, meeting logistics, correspondence, andproject follow-up for development and partnership activities
  • Maintain organized electronic and physical filing systemsrelated to donor records, agreements, and other documentation
Partnership & Event Coordination
  • Support coordination of corporate, workforce, industry, andcommunity partnership activities
  • Assist with logistics, communications, and follow-up related to partnership meetings, events, sponsorships, and campus engagementopportunities
  • Maintain records associated with partnership agreements,internship collaborations, equipment donations, sponsorships, andmemorandums of understanding (MOUs)
  • Assist with event preparation including guest communication,registration tracking, materials preparation, and onsitesupport
Operational Support
  • Assist with departmental budget tracking, purchasingdocumentation, and reconciliation processes as requested
  • Support operational coordination for Advancement/ExternalAffairs initiatives and special projects
  • Collaborate with internal departments to ensure alignment ofdonor and partnership information across the institution
  • Perform other duties as assigned in support of the mission andstrategic priorities of the College and Foundation
Success Measures
  • Accuracy and integrity of donor and partner records within theCRM system
  • Timeliness and professionalism of donor stewardship andcommunication efforts
  • Timely responsiveness of customer service provided to donorsand community partners
  • Successful coordination and execution of development andengagement events
  • Effective tracking and reporting of donor activity andpartnership engagement
  • Contribution to donor retention, development support growth,and strengthened community partnerships

Minimum Education, Experience, Knowledge, Skills &Abilities
  • Associate (or higher) degree required
  • Three (3) years of experience in customer relations,development, fundraising, donor services, administrativecoordination, or a related field
  • Experience working with databases, CRM systems, or data entrysystems with a high degree of accuracy and attention to detail
  • Strong interpersonal and communication skills with the abilityto interact professionally with donors, alumni, community partners,and internal stakeholders
  • Strong organizational and time-management skills with theability to manage multiple priorities and deadlinessimultaneously
  • Proficiency in Microsoft Office Suite including Word, Excel,Outlook, and PowerPoint
  • Ability to maintain confidentiality and exerciseprofessionalism and discretion
  • Demonstrated commitment to customer service, teamwork, andinstitutional mission
  • Ability to work occasional evenings or weekends for donor andcommunity events
  • Ability to travel locally for meetings and events asneeded
  • Ability to lift and carry event materials up to twenty-five(25) pounds occasionally
Preferred Qualifications
  • Bachelor's (or higher) degree in business, communications,public relations, nonprofit management, marketing, or relatedfield
  • Experience in higher education, nonprofit, Foundation, oradvancement environments
  • Experience with CRM platforms such as Raiser's Edge,Salesforce, Blackbaud, or similar donor management systems
  • Experience supporting fundraising initiatives, donorstewardship, alumni engagement, or partnership developmentExperience assisting with event coordination or communityengagement activities
  • Bilingual (English/Spanish) preferred based on service areademographics
  • Experience collaborating with volunteer groups, boards, orcommunity organizations
