Job summary

Lee College seeks a Coordinator, Donor Relations & Data Management to support fundraising and donor engagement. You will manage donor and alumni data in the CRM, draft stewardship communications, and help plan cultivation events.

The role requires strong organizational and interpersonal skills, with the ability to coordinate across Advancement/External Affairs and with community partners. Some evenings and local travel may be required.

Qualifications

  • Associate degree or higher required.
  • Three years of experience in customer relations, development, fundraising, donor services, or a related field.
  • Experience with databases, CRM systems, or data entry systems with a high degree of accuracy and attention to detail.
  • Strong interpersonal and communication skills with the ability to interact professionally with donors, alumni, community partners, and internal stakeholders.
  • Strong organizational and time-management skills with the ability to manage multiple priorities and deadlines simultaneously.
  • Proficiency in Microsoft Office Suite including Word, Excel, Outlook, and PowerPoint.
  • Ability to maintain confidentiality and exercise professionalism and discretion.
  • Demonstrated commitment to customer service, teamwork, and institutional mission.
  • Ability to work occasional evenings or weekends for donor and community events.
  • Ability to travel locally for meetings and events as needed.
  • Ability to lift and carry event materials up to twenty-five (25) pounds occasionally.

Responsibilities

  • Coordinate donor stewardship activities including thank-you communications and donor recognition.
  • Serve as a welcoming and professional point of contact for donors, alumni, and community partners.
  • Assist with planning and coordination of donor cultivation activities and Foundation-sponsored events.
  • Support execution of advancement events including galas, scholarship breakfasts, and donor receptions.
  • Maintain ongoing communication and follow-up processes to strengthen relationships.
  • Maintain accurate donor, alumni, and partner records in the CRM/database.
  • Enter, update, audit, and manage donor data for reporting and planning.
  • Generate reports, dashboards, mailing lists, and activity summaries to support fundraising operations.
  • Assist in monitoring donor pipelines, sponsorship tracking, and partnership engagement metrics.
  • Draft donor acknowledgment letters, stewardship communications, and event materials.
  • Prepare newsletters, invitations, impact stories, and annual reports for distribution.
  • Coordinate scheduling and logistics for development and partnership activities.

Job description

The Coordinator, Donor Relations & Data Management serves as a key operational and relationship-support role within the Advancement/External Affairs division. Under the direction of the Director, Development & Strategic Partnerships, this position supports the College’s fundraising, donor engagement, alumni relations, and strategic partnership efforts through a combination of relationship coordination, stewardship support, CRM administration, and operational execution.

This position requires a unique blend of interpersonal strengths and technical capability. The successful candidate must be highly organized, detail-oriented, service-minded, and comfortable working both behind the scenes with data and directly with donors, alumni, industry partners, and community stakeholders. The coordinator plays an essential role in ensuring donor information is accurate, engagement activities are coordinated effectively, and stewardship efforts reflect the professionalism and mission of the College.

The position supports the College’s commitment to student success, community engagement, philanthropy, and institutional effectiveness by helping strengthen relationships that generate scholarships, workforce partnerships, program support, and community investment.

Donor Relations & Stewardship
  • Coordinate donor stewardship activities including thank-you communications, donor recognition efforts, impact updates, and engagement touchpoints
  • Serve as a welcoming and professional point of contact for donors, alumni, and community partners, ensuring high-quality customer service and responsiveness
  • Assist with planning and coordination of donor cultivation activities, alumni engagement efforts, and Foundation-sponsored events
  • Support execution of Advancement events including the annual Gala, scholarship breakfast, donor receptions, annual fundraising events, President’s Circle activities, and community engagement initiatives
  • Maintain ongoing communication and follow-up processes that strengthen donor and partner relationships
CRM & Data Management
  • Maintain accurate and current donor, alumni, and partner records within the College’s CRM/database system
  • Enter, update, audit, and manage donor and engagement data to ensure data integrity, consistency, and usability for reporting and strategic planning
  • Track donor interactions, stewardship activities, engagement history, and partnership progress within the CRM platform
  • Generate reports, dashboards, mailing lists, and activity summaries to support fundraising operations and leadership decision-making
  • Assist in monitoring donor pipelines, sponsorship tracking, scholarship support activity, and partnership engagement metrics
Communications & Administrative Support
  • Draft donor acknowledgment letters, stewardship communications, event correspondence, and donor-facing materials under the direction of the Director
  • Assist with preparation and coordinate distribution of newsletters, invitations, impact stories, annual reports, and promotional materials
  • Support preparation of briefing materials, presentations, proposals, and engagement plans for executive leadership and donor meetings
  • Coordinate scheduling, meeting logistics, correspondence, and project follow-up for development and partnership activities
  • Maintain organized electronic and physical filing systems related to donor records, agreements, and other documentation
Partnership & Event Coordination
  • Support coordination of corporate, workforce, industry, and community partnership activities
  • Assist with logistics, communications, and follow-up related to partnership meetings, events, sponsorships, and campus engagement opportunities
  • Maintain records associated with partnership agreements, internship collaborations, equipment donations, sponsorships, and memorandums of understanding (MOUs)
  • Assist with event preparation including guest communication, registration tracking, materials preparation, and onsite support
Operational Support
  • Assist with departmental budget tracking, purchasing documentation, and reconciliation processes as requested
  • Support operational coordination for Advancement/External Affairs initiatives and special projects
  • Collaborate with internal departments to ensure alignment of donor and partnership information across the institution
  • Perform other duties as assigned in support of the mission and strategic priorities of the College and Foundation

  • Bachelor’s (or higher)degree in business, communications, public relations, nonprofit management, marketing, or related field
  • Experience in higher education, nonprofit, Foundation, or advancement environments
  • Experience with CRM platforms such as Raiser's Edge, Salesforce, Blackbaud, or similar donor management systems
  • Experience supporting fundraising initiatives, donor stewardship, alumni engagement, or partnership development
  • Experience assisting with event coordination or community engagement activities
  • Bilingual (English/Spanish) preferred based on service area demographics
  • Experience collaborating with volunteer groups, boards, or community organizations
