Job summary

Qualifications

• Previous accounts receivable, billing, bookkeeping, or collections experience.
• Experience with QuickBooks Online strongly preferred.
• Proficiency with Microsoft Office, particularly Excel and Outlook.
• Strong collection, negotiation, and follow-up skills.
• Confidence discussing past-due balances and requesting payment professionally.
• Excellent written and verbal communication skills.
• Strong organizational skills, accuracy, and attention to detail.
• Ability to manage multiple accounts, deadlines, and follow-up commitments.
• Self-motivated, dependable, and able to work independently in a fast-paced office.
• Ability to learn SERVPRO systems and other proprietary software.
• Ability to successfully complete a background check.

Responsibilities

• Billing and Invoicing: Prepare and issue accurate, timely customer invoices for completed work.
• For insurance-related jobs, send invoices to customers after estimates are submitted to insurers.
• For self-pay jobs, send invoices and communicate payment expectations.
• Review job information to confirm readiness for invoicing.
• Coordinate with project managers to obtain missing information and resolve issues delaying invoicing.
• Maintain accurate invoice records across QuickBooks Online, WorkCenter, and Flow systems.
• Respond to customer questions regarding invoices, balances, payments, and docs.
• Monitor unbilled jobs and outstanding invoice requirements to prevent delays.
• Collections and Account Follow-Up: Proactively manage collections via calls, email, and letters.
• Communicate payment status with customers, insurers, and other parties.
• Maintain collection notes, updates, and follow-up dates; provide weekly aging reports.
• Research and resolve billing or payment discrepancies with the team.
• Monitor past-due accounts and escalate significant concerns to management.
• Transition completed billings into collections and follow each account through final payment.
