St. Mary Magdalen Parish Office in Brighton is seeking a part-time Administrative Assistant.
This position is part of a job-sharing arrangement and requires close collaboration with the other team member to ensure seamless office operations and consistent support for the parish community.
Perform a variety of administrative tasks for the parish office while maintaining confidentiality. Reports to the Director of Mission Support while working closely with parish staff and priest.
Job Share Responsibilities:
- Answer incoming telephone calls and greet visitors/parishioners in a friendly and professional manner
- Collaborate with the office co-worker to share job responsibilities, ensure adequate office coverage, and communicate pertinent information as needed
- Assist with new member enrollment and respond to questions, emails, and inquiries in a timely manner
- Maintain, coordinate, and assist with the staff and parish calendars, including scheduling and updating events as needed
- Assist parish groups with coordinating and scheduling parish room reservations
- Prepare the Monday collection, work closely with collection counters, and accurately record and maintain collection information on deposit sheets for submission to the Business Coordinator each week
- Record Mass intentions and related donations/receipts in the liturgical calendar and Mass book
- Manage, sort, and distribute incoming mail
- Collect alms and candle money weekly
- Order office supplies and assist with the care and maintenance of office equipment
- Record sacramental information in the parish registers and maintain corresponding records in Camino software
- Assist with the administration of Shrine of the Cross and Resurrection Tower plots and niches, including coordinating and organizing interments
- Collaborate with various parish ministries and volunteer groups, providing administrative support and completing related tasks as needed
- Assist Magdalen's Kitchen volunteers with questions, concerns, and sign-up forms, maintain gift card spreadsheets and distribute gift cards as needed
- Ensure all parish doors are locked, and the building is properly secured at the end of each workday
Required Skills:

- Knowledge of Email, MS Word, Excel
- Ability to maintain sensitive and confidential information
- Work Wednesday 12:30pm-4:30pm, Thursday 8:30am-4:30pm and Friday 8:30am-12:30pm
