Job description

The Accountant is responsible for bookkeeping for Club members, business clients and vendors and for addressing matters concerning their accounts. These functions include:

  • Bookkeeping, member accounts and other accounts receivable, accounts payable and payroll preparing financial documents, reports and statements; and meeting financial compliance requirements.
  • Assisting in financial planning and annual budget creation with a focus on the Club’s strategic priorities in coordination with the Treasurer, Financial Committee, Executive Committee and Board of Directors.
  • Major role in all aspects of ongoing compliance management: Updates policies and procedures, regular District, State and Federal filings, including DC personal property tax return, exempt property use report, DC Annual Franchise tax return, Department of Consumer and Regulatory (DCRA) Biennial filing, and ABRA (alcohol) and business license renewals.
  • Maintaining and troubleshooting financial software i.e., Buz G/L and QuickBooks payroll.
ROLES AND RESPONSIBILITIES:
Member Services Responsibilities:
  • Oversees accounting for member dues and fees accounting and if delinquencies, works with Treasurer to determine the action for a delinquent member.
  • Primary interface/troubleshooter with Buz accounting software
  • Audits member accounts, identifying and resolving payment issues.
Operational Accounting Responsibilities:
  • Oversees Accounts Receivable (AR) and Accounts Payable (AP) function, vendor invoices, check payments and payroll, SBA loan accounting.
  • Maintains reasonable AR balances – focusing on rental income payments, member accounts and private event receivables
  • Consistent analysis of variances and month-end balances, identifying any odd transactions.
  • Maintains Fixed Asset Schedules – including additions, disposals, etc. Calculates detailed deprecation expenses and posts to Buz general ledger.
  • Reviews contracts, raising issues when expenditures exceed budget estimate.
  • Primary interface with all Tax and Reporting agencies for payments and all required filings, including monthly DC sales taxes owed on food and drink.
  • Responsible for calendar year-end employee and contractor reconciliation and reporting: W2s, W3s, 1099s, 1096s, etc.and form submissions.
  • Completes additional fiscal year-end tasks: wage and PTO accruals, balance sheet account reconciliations, general income and expense account cleanup, fixed asset roll-forward.
Biweekly payroll responsibility- maintaining Paid Time Off (PTO) categories, etc
  • Prepares bi-weekly payroll and enter in QBO payroll.
  • Submits reports to the President or Treasurer for approval.
Accounting Framework Responsibilities:
  • Develops workflow “checklists”, and approval controls for all accountable transactions and processes.
  • Plans for scheduled financial statement audits by preparing schedules for auditors and coordinating activities with other staff, the Executive Committee, Financial Committee and Board of Directors, as needed.
  • Prepares Schedules for Workers’ Comp Audit.
  • Prepares and files annual form 990, including updating format so Form 990T reporting clearly shows nonmember related income and expenses
Report preparation:
  • Prepares standard monthly close schedule with daily checklist for payments, billing and accounting entries.
  • Prepares Profit and Loss (P&L) and Balance Sheet (BS) at the end of each quarter and annually.
  • Prepares monthly cash reconciliations and other account reconciliations, as needed.
  • Coordinates information for external tax and compliance filings (employee taxes, 990, DC Cean Hands, etc.)
  • Prepares monthly Financial Reports: Income Statement vs. Budget, Balance Sheet, Aging Reports, Cash Flow for Treasurer, Finance Committee and Board as needed.
  • Works with Auditors/CPA firms to create financial reports and provide explanations as needed.
