Job summary

Tyler Junior College is seeking an Academic Advising Support Specialist to provide front desk coverage and assist with student services. You will greet students, manage appointments, and support advisors and staff in a student-centered environment.

The role requires attention to confidentiality, familiarity with FERPA, and the ability to travel between TJC locations as needed. This is a part-time, 18-hour-per-week position.

Qualifications

Responsibilities

  • Provide front desk coverage for the Academic Advising Center and support Check-In stations at events.
  • Coordinate front desk scheduling and rotation with the Manager to ensure immediate service opportunities.
  • Support advising appointment calendar with academic advisors and Assistant Director.
  • Assist students with self-registration and basic questions not requiring an appointment.
  • Greet and sign in students, handle documents, answer phones and emails, schedule appointments, and file records.

Job description

The Academic Advising Support Specialist provides administrative, operational, and customer service support for the Academic Advising Center. This position serves as a primary point of contact for students, faculty, and staff, providing professional, timely assistance. This incumbent helps maintain a welcoming and student-centered environment while ensuring compliance with institutional practices, FERPA regulations, and established departmental procedures.

This is a part-time position and can work up to 18 hours per week.


  • Provide front desk coverage for the Academic Advising Center and support Check-In stations at events to ensure positive customer service.
  • Coordinate the front desk area’s office scheduling and rotation to ensure immediate service opportunities for students seeking academic advising, in partnership with the Manager.
  • Support the designated academic advising appointment calendar, engaging with academic advisors and assistant director to ensure optimal student advisor contact availability according to grouping and/or pathway, in partnership with the Manager.
  • Support the academic advising department and students by assisting with self-registration and other basic questions that may not require an appointment with an academic advisor.
  • Greet and sign in students, retrieving/accepting documents, answering phones and emails, scheduling appointments, scanning/indexing advising documents, and filing as needed.
  • Maintain a customer-friendly, confidential, and professional environment and a welcoming attitude.
  • Provide staff support to include preparation of documents supporting advisement, records maintenance, data input, tracking reports, and the use of Banner and Xtender.
  • Scan and index student advisement records in a timely manner.
  • Assist in the preparation and compilation of special reports, forms, and other documents as required.
  • Provide professional, timely, and courteous assistance to internal and external stakeholders of TJC.
  • Travel to other TJC locations as required for advising support duties.
  • Maintain confidentiality of student information and records; knowledge of FERPA and other applicable laws and regulations.
  • Meet or exceed annual performance expectations as designated by the Manager.

SUPERVISORY RESPONSIBILITIES

Individual Contributor

Work Environment: Indoor office setting with some work may be required outside of normal business hours.

Physical Demands: Sitting, walking, standing, bending, and repetitive typing. Requires prolonged verbal communication (in person and via phone) and regular use of standard office equipment.

Travel Required: Yes–10% (TJC campuses and conferences)

If travel is required, the candidate must have and maintain a current, valid driver’s license and an acceptable driving record.
