The role sits in the Licensing department and works daily with Recruiting, Brokerage Operations, Finance and Legal. It is the single point of accountability for getting an agent from "verbal offer accepted" to "contracted and licensed with SERHANT." quickly and without errors.

Responsibilities
  • ICA drafting and issuance
    • Draft ICAs from approved templates for new agents, team leads and team members, tailoring commission splits, caps, fees, incentives and team structures to approved term sheets.
    • Solutions forward to move editing requests into scalable business outcomes for the brokerage.
    • Prepare amendments, addenda, renewals, team-change agreements and termination/release letters.
    • Resolve any non-standard term or template deviation before it goes out for signature.
    • Route agreements for e-signature, confirm full execution and file the signed copy in the system of record.
  • Licensing and compliance
    • Verify each agent's license status, expiration and disciplinary history with the relevant state commission before an ICA is issued.
    • Process license transfers, sponsorship changes and releases across every state where the brokerage operates.
    • Track renewal and continuing-education deadlines and notify agents and managers ahead of them.
    • Keep agent files audit-ready to state regulator and internal standards.
  • Data and coordination
    • Enter executed terms accurately into the CRM, back-office and commission systems so Finance pays agents correctly.
    • Maintain a live tracker of every agreement in flight, from term sheet to signature to system setup.
    • Answer agent and manager questions on agreement terms and licensing steps.
    • Help maintain the ICA template library and clause bank as compensation plans and state rules change.
  • The company reserves the right to add or change duties at any time.
Qualifications
  • Paralegal certificate (ABA-approved preferred) or associate's/bachelor's degree with equivalent experience.
  • 3+ years as a paralegal or contracts administrator, drafting agreements from templates and term sheets.
  • Experience in a real estate brokerage, title company or real estate law firm.
  • Working knowledge of independent contractor arrangements and commission-based compensation.
  • Track record of near-zero errors on high-volume document work.

  • E-signature platforms (DocuSign or similar) and brokerage back-office/CRM systems.
  • Preferred, by not required:
    • Familiarity with state real estate licensing rules, including New York DOS and Florida DBPR, and multi-state sponsorship.
    • Notary public commission.
    • Exposure to agent compensation plans, team splits or caps.
Skills
  • Precise contract drafting and proofreading; catches mismatches between term sheet and agreement.
