Job summary

Mountain View Hospital in Idaho Falls is seeking an Outpatient Therapy Office Staff Specialist Lead to support patient admissions, scheduling, and coordination of therapy services.

You will register patients, verify information, manage referrals, coordinate therapist schedules, and assist with billing support and authorization processes while maintaining accuracy.

This role requires a high school diploma, 1–3 months related experience, and proficiency with hospital information systems.

Qualifications

• High school diploma or GED required.
• 1–3 months related experience or training.
• Ability to use hospital information system and software.

Responsibilities

• Patient Registration, Scheduling, and Intake.
• Coordinate patient scheduling for therapy services in a timely and efficient manner.
• Pre-register patients by obtaining and verifying demographic, emergency contact, and insurance information; complete patient discharge activities as needed.
• Receive referrals, obtain complete and accurate physician orders, and ensure all required documentation is received before services are scheduled.
• Manage therapist schedules, monitor appointment availability, maintain waitlists, and communicate scheduling updates and openings to patients and families.
• Answer incoming calls promptly and professionally, directing inquiries as appropriate.
• Complete and check all new patient records files for required information and accuracy.
• Maintain patient safety within reception and waiting areas.
• Assist with insurance eligibility and benefits for Medicaid, commercial, and private payers; document changes within Cerner.
• Assist with obtaining and tracking prior authorizations; ensure approvals before services are rendered.
• Assist with billing-related functions, including occurrence codes, KX modifiers, G-codes, and other payer requirements.
• Collect and document co-payments and other patient payments.
