Speck Pumps-Pool Products, Inc. seeks an Order Entry Specialist to accurately enter customer orders into our system and verify details for correct pricing and fulfillment. You will respond to inquiries, support sales, and help maintain smooth order flow.

You will coordinate with Production, Shipping, and Accounting to resolve issues, ensure timely processing, and maintain thorough records. This full-time role requires a professional, customer-focused approach and comfort with ERP systems.

Qualifications

Job description

The purpose of an Order Entry Specialist is to enter customer orders accurately and efficiently into a company’s order processing system. This role is responsible for verifying customers’ information, ensuring the accuracy of product details and pricing, and ensuring orders are processed promptly. The Order Entry Specialist may also be responsible for responding to inquiries from customers or sales representatives, troubleshooting any issues with orders, and providing excellent customer service as needed.

Essential Functions:

• Input orders into database.
• Preparing and issuing order confirmations to customers accurately and on a prompt basis.
• Resolve order-related inquiries and collaborate with Production and Shipping teams to ensure order accuracy.
• Provide accurate pricing, product availability and shipping details.
• Reviewing purchase orders and sales transactions to ensure accuracy.
• Process customer payments accurately.
• Coordinating with sales or service departments to verify order details.
• Collaborating with the accounting department to reconcile invoicing issues.
• Track and monitor accounts for prompt payments and update customer records.
• Maintain comprehensive electronic and paper records of all orders.
• Respond to customer inquiries regarding orders, tracking and invoices.
• Participate in a variety of special projects as needed.
• Communicate with co-workers, management, customers, and others in a courteous and professional manner.
• Conform with and abide by all regulations, policies, work procedures and instructions.
• Comply with all company policies and procedures.

Job Requirements:

• A minimum of a High School diploma or equivalent; additional qualifications in business administration or a related field are a plus.
• Previous experience in order entry, customer service, or related role preferred.
• Familiarity with ERP systems
• Excellent interpersonal, customer service and communication skills.
• Manufacturing experience

Supervisory Responsibility:

This position has no supervisory responsibility

Work Environment:

This job is worked in an office environment with computer-based work and constant interaction with teams and customers.

Physical Demands:

A sedentary role with occasional lifting, usually up to twenty-five (25) pounds.

Position Type and Expected Hours of Work:

This is a full-time position. Days and hours of work are Monday through Friday, 8:30 a.m. to 5:00 p.m.
