Job summary

Ruskin, an Air Distribution Technologies, Inc. company, is seeking an Order Entry Specialist to support order management through accurate data entry and collaboration with Account Managers. The role includes processing standard orders, handling change requests, and ensuring timely invoicing and documents.

You will work with ERP systems to ensure order accuracy, support post-sale activities, and assist in handling special orders and returns in a fast-paced manufacturing environment.

Qualifications

• 2+ years of experience in order entry or administrative role in a manufacturing or distribution environment.
• Exceptional attention to detail and accuracy in high-volume data entry.
• Excellent verbal and written communication skills for clear interaction with internal teams.

Responsibilities

• Review orders collaboratively with account managers to ensure accurate collection of order details (part numbers, quantities, pricing, drawing numbers, ETO numbers, schedule dates).
• Process standard EDI batch orders at established intervals and triage those needing manual intervention with Account Managers.
• Manage change orders with Account Managers to document and process requests per internal procedures.
• Utilize ERP systems to generate and distribute order acknowledgments, credit memos, and invoices to customers.
• Assist in processing custom orders, express requests, product returns, and warranty replacements with internal teams.

Ruskin, an Air Distribution Technologies, Inc. company, is seeking an Order Entry Specialist. The Order Entry Specialist will serve as the data entry component of our order management process, working collaboratively with Account Managers and other disciplines to ensure order accuracy and post-sale functions, such as returned goods and credit requests are managed to the customer’s expectations.

What You'll Do

• Accuracy by working collaboratively with account managers and other disciplines to ensure the order review process is followed, facilitating accurate collection of order details, including part numbers, quantities, pricing, drawing numbers, ETO numbers, and schedule dates meeting customer expectations.
• Speed by processing standard EDI batch orders at established intervals and performing triage to separate orders requiring manual intervention, working with Account Managers to facilitate necessary engagement with other disciplines to quickly resolve order hangups.
• Service by managing the change order process, in collaboration with Account Manager, to ensure change requests are accurately documented and processed in alignment with internal processes.
• Results through utilizing ERP systems and related applications to facilitate distribution of customer-facing documents such as order acknowledgments, credit memos, and invoices.
• Satisfaction by working with Account Managers to assist in quickly and accurately processing custom orders, express requests, product returns, and warranty replacements.
• Growth through working with Sales and Account Managers in supporting actions required to set up new accounts following company procedures.
• Problem solve by working with IT and other disciplines to reconcile discrepancies between the ERP systems (AS400 and MacPac), to ensure invoicing accuracy among other critical system functions.

What You'll Bring

• Experience with MS Office products, including Power Bi and ERP software, such as AS400, MacPac, SAP, or similar.
