Qualifications

  • Proficiency with Microsoft Office and Teams; ability to learn new systems.

  • Ability to lift and move office supplies up to 25 pounds.

Responsibilities

  • Welcome clients, visitors, and vendors with a warm and professional demeanor.
  • Answer and route incoming calls promptly and accurately.
  • Take and relay messages as needed.
  • Issue and track parking validations for clients and visitors.
  • Coordinate conference room reservations and meeting schedules.
  • Receive, sort, distribute, and coordinate incoming and outgoing mail.
  • Keep kitchen and common areas clean, organized, and fully stocked.
  • Maintain kitchen supply lists and place weekly orders within budget.
  • Coordinate with building management and cleaning vendors regarding office needs.
  • Assist with conference room technology and meeting setup.
  • Assist with office events, including catering setup, coordination, and cleanup.
  • Provide general administrative support, including copying, document preparation, compilation, and editing.
  • Process and route expense and reimbursement documentation.
  • Monitor office supply inventory and submit orders for approval.
  • Assist with training new hires on front-desk and office procedures.

As the Orange County Receptionist, you will be one of the first points of contact for clients, attorneys, vendors, and guests-and play an important role in creating a welcoming, professional experience at a leading law firm.
This is a dynamic, people-focused position where no two days are exactly alike. You may be welcoming a client one moment, coordinating a conference room or firm event the next, and helping keep daily office operations running smoothly. You'll work closely with another team member to provide front-desk coverage and support, making this a collaborative role where you're never working alone.
Key Responsibilities
Reception & Client Experience

Schedule & Work Environment
This is a full-time, on-site position based in an Orange County (Irvine, CA) office.
Schedule: Monday-Friday, 8:00 a.m.-5:00 p.m.
Occasional early arrivals or later departures may be required to support firm events.
The position involves extended periods at the reception desk, along with regular movement throughout the office to assist with meetings, events, supplies, and daily operations.
