ROLE IMPACT
Lead a high-volume healthcare scheduling team responsible for coordinating patient appointments across multiple surgeons. This role drives scheduling accuracy, clinic utilization, patient service, and team performance while maintaining strong communication with practice staff and referring offices. Success means efficient appointment workflows, accurate patient information, effective issue resolution, and a well-supported scheduling team.
KEY RESPONSIBILITIES
- Oversee daily scheduling operations, including appointments, rescheduling, cancellations, no-shows, and surgeon schedules, to improve clinic efficiency and appointment utilization.
- Supervise, train, mentor, and provide performance feedback to scheduling staff while monitoring metrics such as call response times, scheduling accuracy, and appointment utilization.
- Serve as the escalation point for scheduling concerns and patient complaints, ensuring professional, empathetic, and timely resolution.
- Maintain accurate scheduling and patient information, coordinate insurance verification and medical record review, and support compliance with HIPAA patient privacy and confidentiality requirements.
- Partner with practice staff, front desk teams, and referring practices to communicate patient needs, surgeon availability, workflow updates, and opportunities for process improvement.
MINIMUM QUALIFICATIONS
- High school diploma or equivalent.
- Minimum 3 years of experience in healthcare, medical scheduling, dental scheduling, patient access, or a contact center environment.
- Strong customer service, communication, problem-solving, organizational, multitasking, and computer skills, including proficiency with Microsoft Office.
