Job summary

UVA Health is seeking an experienced Scheduling Associate to support the Scheduling Office by efficiently producing the ORMIS Daily OR Schedule and related documents. You will coordinate with surgeons, patients and care teams, schedule in Epic systems (OpTime, Cupid, Radiant), and optimize daily operations.

Key responsibilities include managing the Snapboard, pre-registration checks, insurance verification, and communicating schedule changes.

Qualifications

• High school diploma required; associate degree preferred.
• 3 years of clinical administrative or clinical experience for external candidates; internal candidates must show proficiency in Access Associate Senior duties.
• CHAA certification preferred.

Responsibilities

• Schedule and coordinate OR procedures in Epic (OpTime/Cupid/Radiant) and manage the Snapboard.
• Coordinate same-day appointments with providers and ensure correct patient and information.
• Communicate schedule changes and ensure pre-registration and insurance verification.
• Educate patients on pre-surgery requirements and pre-authorizations must be completed.
• Provide high-level customer service to referring providers and patients.
• Maintain patient flow and resolve scheduling conflicts and communicate with care teams.
• Ensure proper use of ICD-10 and CPT codes and accurate billing information.
• Utilize DAR and maintain provider calendars.
