Tallahassee State College (TSC) is seeking an OPS Dental Office Assistant for a part-time role within the Dental Health Programs. The position provides clerical, secretarial, and administrative support to the program Chairs and staff.

Qualifications

  • Two years of clerical/secretarial experience in a post-secondary educational environment preferred.

Responsibilities

  • Type correspondence, reports, supply lists, and purchase requisitions; proofs materials for accuracy.
  • Use Microsoft Office to file, organize, and maintain documents and data.
  • Assist the Program Chairs and other personnel with the operation of the Dental Health Programs as assigned.
  • Answer telephone calls, take messages, schedule appointments, and respond to inquiries or direct to resources.
  • Send and receive email communications.
  • Assist with mail processing and prepare materials for Advisory Committee meetings and regulatory visits.
  • Assist with preparations for Dental Health Program events and coordinate with campus departments.
  • Assist with duties of the Dental Clinic Coordinator as needed.
  • Perform printing, copying, and faxing tasks; collate and organize files; enter data into spreadsheets.

What You’ll Do

The OPS Dental Office Assistant is housed within the Dental Health Programs faculty office suite and reports directly to the Dental Health Programs Chairs. The candidate will provide clerical, secretarial, and administrative support functions of moderate scope and complexity that require sound judgment, initiative, and attention to detail. The candidate must be flexible and capable of learning and performing the duties of the Dental Clinic Coordinator as needed to support the daily operations of the Dental Health Programs.

Primary duties will include, but are not limited to:
  • Using a personal computer to type correspondence, reports, supply lists, and purchase requisitions, and proofreading materials for accuracy.

  • Using Microsoft Office applications to file, organize, and maintain documents and data.

  • Assisting the Program Chairs and other personnel with the operation of the Dental Health Programs as assigned.

  • Answering telephone calls, taking messages, making calls when necessary, scheduling appointments for faculty and program personnel, and responding to student and prospective student inquiries or directing them to appropriate resources.

  • Sending and receiving email communications.

  • Assisting with mail processing and preparing materials for Advisory Committee meetings and State Board/Regulatory Agency visits.

  • Assisting with preparations for Dental Health Program events and coordinating with campus departments to ensure activities are conducted effectively and efficiently.

  • Assisting with the duties of the Dental Clinic Coordinator as needed.

  • Performing printing, copying, and faxing tasks; collating and organizing student and faculty files; and entering data into spreadsheets as requested.
