Job summary

Madison Parish Hospital in Louisiana is seeking a full-time Operator for the Rural Health Clinic to handle front-desk duties and switchboard operations. You will answer, direct, and escalate calls, assist with patient scheduling, referrals, and messaging, and maintain accurate information in the EMR.

The ideal candidate has at least a high school diploma, 1 year of PBX/medical receptionist experience, and knowledge of ICD-10/CPT codes and insurance contracts.

Qualifications

• High School Diploma.
• 1 year of PBX/medical receptionist experience.
• Graduate from a Medical Billing & Coding program or 2+ years of outpatient billing/referral experience recommended.
• Knowledge of Medical Terminology, ICD-10 Codes, CPT codes.
• Knowledge of insurance contracts including Medicaid/Medicare, private, commercial, etc.
• Excellent written and verbal communication skills.

Responsibilities

• Operates switchboard and connects, holds, transfers, and disconnects calls.
• Determines the nature of inquiries and provides general information.
• Identifies caller needs and provides accurate information or solutions.
• Escalates calls to appropriate administrative leaders as needed.
• Updates the EMR (Azalea) with time-sensitive appointment cancellations or rescheduling.
• Provides appointment reminder calls as needed.
• Completes initial registration of new patients.
• Maintains appointment schedule and follows office procedures.
• Provides up-to-date patient information for records upon request.
• Maintains professional demeanor and uses de-escalation tactics when appropriate.
• Notifies supervisor of operational interruptions.
• Provides back-up to check-in/check-out as needed.
• Keeps work area neat and orderly.
• Performs other duties as assigned.

Madison Parish Hospital is currently accepting applications for one full-time Operatorfor the Rural Health Clinic.

Job Title: Operator

Reports to the Clinical Operations Director. Responsible for promptly answering and directing phone calls, patient scheduling, referral coordination, taking detailed messages, and ensuring switchboard coverage during business hours.

Duties and Responsibilities:

• Operates telephone switchboard and console to connect, hold, transfer, and disconnect incoming/outbound calls in a prompt manner
• Determines the nature of inquiries and provides general information
• Identifies the caller’s needs and provides accurate information and/or solutions
• Escalates calls to the appropriate administrative leaders as needed
• Promptly updates the EMR (Azalea) with time sensitive updates on patient appointment cancellations or rescheduling assistance. Communicates the same with the clinical staff.
• Provides appointment reminder phone calls as needed
• Completes initial registration of new patients based on current policies and procedures
• Maintains appointment schedule and follows appliable office procedures for the same
• Provides the most up to date information for the patient’s medical record upon request (e.g. demographics, insurance, etc.)
• Able to maintain a professional approach and employ de-escalation tactics when appropriate during calls
• Communicates any anticipated or experienced operational interruptions to direct supervisor promptly
• Provides back-up to check-in/check-out as needed
• Maintains work area in neat and orderly manner
• Other duties as assigned

Education and Requirements:

• High School Diploma
• One (1) year of experience within a PBX, medical receptionist, or outpatient referral role
• Graduate from a Medical Billing & Coding program or 2(+) years of experience in an outpatient billing or referral setting strongly recommended
• Knowledge of Medical Terminology, ICD-10 Codes, CPT codes
• Knowledge of insurance contracts including, but not limited to Medicaid/Medicare, private, commercial, etc.
