For 75 years, United Way of Knox County has brought neighbors, employers, schools, and nonprofits together to strengthen our community. We raise money locally, invest it in partner agencies and community programs, and tell the stories of the people those investments reach. We are a small, lean team in a rebuilding and exciting season, with a refreshed donor database, new systems, and a 75th anniversary campaign underway.
Position Summary
The Operations & Marketing Manager keeps the office running, owns the CRM and gift processing, carries out the campaign and communications work the Executive Director plans and writes, and is the day-to-day owner of our everyday technology, with outside IT for anything specialized. This is a mid-level, hands‑on role, not an executive assistant position. It calls for someone who can build clear, durable structure around loosely defined processes with minimal supervision, and who shares an essentialist mindset: “less but better.”
Status & Compensation
Reports to the Executive Director. Salaried position that staffs the office during regular business hours (currently Monday–Thursday 9–4 and Friday 9–12, about 32 hours per week) and is measured on results, not hours logged. If the work requires more, expect up to 40 hours per week, with flexibility in when those hours are scheduled. Recommended salary range: $40,000–$55,000, depending on experience. Start date: as soon as possible.
Key Responsibilities
CRM, Data & Gift Processing
- Manage the CRM and donor database: data integrity, clean and segmented lists (donor, agency, partner, volunteer, and email), imports and exports, and connections to the website and payment processing.
- Process gifts, send acknowledgments, and track donor designations so every gift lands against the right fund or program. Provide clean gift records to our outside accounting firm.
- Build simple dashboards and reports on donor activity and campaign progress for the Executive Director and board.
Office & Administrative Operations
- Serve as the primary point of contact for day-to-day office operations: mail, phones, supplies, scheduling, and general administration.
- Keep files, records, and shared drives organized, maintain a current inventory of equipment and assets, and document core procedures in simple SOPs.
- Serve as the day-to-day owner of our everyday tools: Google Workspace, email, phones, devices, the CRM, the website, and social media accounts. Handle user accounts, permissions, and basic troubleshooting.
- Keep a current record of logins, licenses, and subscriptions, hold admin access for the organization, and follow basic security practices (two-factor authentication, password manager, backups).
- Use outside IT for specialized work, and take cost or contract decisions to the Executive Director.
Campaign & Communications Execution
- Carry out the annual campaign plan set by the Executive Director: track pledges and gifts, coordinate workplace campaigns, keep timelines and materials on schedule, and help with logistics for events she plans (event planning itself is not a core responsibility).
- Build, schedule, proof, and send the Executive Director's email, print/mail, web, and social media (Facebook, Instagram, and LinkedIn) communications, and track performance.
- Make website updates and handle forms on request (the Executive Director owns all content), and keep the Google Business Profile and other online listings accurate.
Qualifications
Must Have:
- Several years of relevant experience in operations, office management, marketing operations, or a similar hands‑on role.
- Hands‑on CRM experience, including data hygiene, list segmentation, imports and exports, and reporting, plus comfort in spreadsheets and dashboards.
- Tech‑savvy: working knowledge of Google Workspace, everyday account and device administration, and security basics, and quick to learn new platforms. Full IT or network experience is not required.
- Experience carrying out email, print/mail, and social campaigns from a plan.
- Able to work independently, build structure from ambiguity, and manage multiple systems and deadlines at once, with clear written and verbal communication.
Nice to Have:
- Strong writing skills, with good judgment about using AI to support, not replace, original writing.
- Social media experience, specifically Facebook, Instagram, and LinkedIn.
- Nonprofit or small-organization experience, ideally with donor relations, workplace giving, or event logistics.
What Success Looks Like
Six months in, we have a written record of our systems, access, and costs. The CRM is clean, gifts and designations are tracked accurately, and campaign progress is visible at a glance.
