Position: Operations & Marketing Coordinator
Department: Upland Chamber of Commerce
Reports To: Operations Manager
Employment Status: Part-Time (20 hours per week)
Pay Range: $20.00–$21.00 per hour.
Position Schedule
This is a part-time position averaging 20 hours per week, primarily during morning business hours. A flexible schedule is required to support Chamber events as needed.
Position Summary
The Administrative Assistant provides administrative, marketing, and event support to the Operations Manager and Director of Events. This position serves as one of the primary points of contact for Chamber members, sponsors, and visitors while assisting with office operations, event coordination, marketing, and communications.
This role will also assume primary responsibility for the Chamber's digital communications, including Constant Contact email marketing, social media management, website updates, and promotional materials. The Administrative Assistant will play a leadership role in several operational areas of the Tour de Foothills, including rider registration, merchandise, and Beer Garden coordination.

Minimum Qualifications
Education
- High School Diploma or GED preferred.
Experience
- Previous administrative or office experience preferred.
- Experience with event planning or nonprofit organizations is a plus.
Knowledge, Skills & Abilities

- Ability to quickly learn Chamber software systems, including MC Trade (Atlas).
Administrative Support
- Answer incoming telephone calls and greet Chamber members, visitors, and guests.
- Provide general administrative support for daily Chamber operations.
- Assist in preparing correspondence, reports, confidential documents, and meeting materials.
- Conduct research and complete administrative tasks supporting Chamber programs and events.
- Maintain accurate records within the Chamber database, including members, sponsors, prospective members, and event information.
- Learn and effectively utilize the Chamber's membership management software (MC Trade/Atlas).
- Schedule meetings and distribute communications through designated software platforms.
- Assist with processing payments using Heartland and Square payment systems.
Marketing & Communications
Serve as the primary staff member responsible for:
- Managing the Chamber's social media accounts.
- Creating engaging social media content and event promotions.
- Developing and scheduling Constant Contact email campaigns.
- Designing event flyers, promotional materials, and marketing graphics using Canva and other design tools.
- Assisting with public relations and event promotion initiatives.
- Maintaining and updating the Chamber website, including event information, graphics, files, and content.
Event Support
Assist with planning, organizing, and executing Chamber events by:
- Coordinating event timelines and project tasks.
- Preparing materials and supplies for meetings and events.
- Assisting with event setup, registration, and breakdown.
- Supporting sponsors, exhibitors, vendors, and attendees during events.
- Becoming knowledgeable about all Chamber events to provide support when other staff members are unavailable.
Assume a leadership role in the planning and execution of the Tour de Foothills by assisting with:
- Rider registration and packet pickup.
- Event merchandise, inventory, and sales.
- Rest stop planning, supplies, and logistics.
- Volunteer coordination as assigned.
- Event preparation before, during, and after the event.
Physical Requirements
- Ability to sit, stand, walk, bend, and lift throughout the workday.
- Ability to lift and carry event materials and supplies (up to 25 pounds, occasionally more with assistance).
- Ability to assist with loading and unloading event equipment.
- Ability to work outdoors for extended periods during Chamber events in varying weather conditions.
- Ability to travel locally to event venues as required.
