We are a premier, local private duty home care agency ($2M+ revenue) in the East Bay. We are seeking a high-energy, execution-focused Operations Manager to take full ownership of daily office workflows, caregiver scheduling, staff accountability, and client satisfaction.
Daily Office Leadership: Manage day-to-day office operations, caregiver shift allocation, real-time schedule changes, and EVV compliance using our agency management system (AxisCare).
Team Accountability: Direct and supervise office coordination staff and field caregivers; hold employees accountable to attendance, care plans, and agency service standards.
Escalation Management: Handle urgent caregiver call-outs, client family inquiries, and field incidents with professionalism and immediate problem-solving.
Operational Quality & Compliance: Audit caregiver log notes, oversee billing and payroll preparation accuracy, and maintain strict state home care compliance.
In addition to base salary, you will earn quarterly performance bonuses based on clear, measurable agency metrics:
Caregiver Retention & Attendance: Meeting caregiver shift fulfillment and low unexcused absence targets.
EVV & Documentation Compliance: Maintaining high electronic visit verification rates and timely chart audits.
Client Satisfaction & Retention: Maintaining high client service scores and minimizing service cancellations.
2+ years of operations or supervisory experience in private duty home care, senior living, healthcare services, or high-volume service operations (hospitality, retail, field ops).
Demonstrated ability to manage hourly workers, handle difficult conversations, and enforce policies.
Strong tech fluency (experience with home care EMRs like AxisCare, ClearCare/WellSky, or similar systems is a major plus).
Excellent organizational skills and calm under pressure in a fast-paced environment.
