Job summary

HTM Contractors Inc in Honolulu, HI seeks an organized Operations Coordinator for Projects in Industrial & Production Services. You will coordinate customer communications, schedules, estimates, site visits, and field crews to move jobs from first contact to completion.

Responsibilities include maintaining CRM/ERP data, updating accounts and work orders, coordinating between customers, sales, and operations, and ensuring documentation and COIs are prepared for billing.

Qualifications

• Previous experience in administration, customer service, scheduling, dispatch, or office support.
• Strong communication skills and a professional attitude.
• Good attention to detail and organization.
• Ability to manage multiple tasks and priorities.
• Comfort using computers and learning new software.
• Experience with CRM scheduling or business software is a plus.
• Ability to work independently while being part of a team.
• Positive attitude and willingness to learn.
• Experience in construction, service, manufacturing, or operations is helpful but training may be provided.

Responsibilities

• Answering customer calls and responding to messages.
• Helping customers understand services and next steps.
• Creating and updating customer accounts, jobs, and work orders.
• Scheduling estimates, site visits, crews, equipment, deliveries, and services.
• Coordinating schedules between customers, managers, sales teams, and field crews.
• Keeping company schedules and calendars accurate.
• Updating information in CRM and ERP systems.
• Tracking projects, orders, and customer requests from start to finish.
• Preparing paperwork, documentation, and job files; processing COIs.
