HTM Contractors in Honolulu, HI invites an organized Operations Coordinator to join our construction and site services team. You will coordinate daily operations, manage customer communications, and schedule services across Roll-Off, Junk Removal, Demolition, Excavation, and Infrastructure divisions.

The role emphasizes scheduling accuracy, coordination between office staff and field crews, and maintaining comprehensive records.

Qualifications

• Experience in administration, customer service, scheduling, dispatch, or office support.
• Strong communication skills and a professional attitude.
• Excellent attention to detail and organization.
• Ability to manage multiple tasks in a busy environment.
• Comfort with computers and learning new software.
• Experience with CRM, scheduling, or business software is a plus.
• Ability to work independently and in a team.

Responsibilities

• Coordinate daily operations across Roll-Off, Junk Removal, Demolition, Excavation, and Infrastructure divisions.
• Answer customer calls and respond to messages.
• Schedule services and outline next steps for customers.
• Gather job details, site information, photos and required documents.
• Create and update customer accounts, jobs, and work orders.
• Schedule estimates, site visits, deliveries, removals, exchanges, and services.
• Dispatch drivers, crews, trucks, dumpsters, trailers, and equipment.
• Maintain accurate schedules and calendars.
• Coordinate dumpster rentals, pickups, exchanges, and relocations.
• Confirm job details including locations and timing.
• Track job progress and communicate updates to customers and teams.
• Update information in CRM and ERP systems.
• Prepare paperwork and documentation for completed work.
• Collect job records needed for billing.
• Process Certificates of Insurance (COIs).
• Support coordination of demolition, excavation, infrastructure, crushing, hauling, crane, and equipment services.
