Operations Coordinator - NIH (Short-Term)

Salary Range: $41.00 To $43.50 Hourly

Responsibilities:
- Coordinate with upper management on special projects
- Act as a point-of-contact with upper management, administrative, budget, and property management staff
- Disseminate guidance to staff on Federal guidelines and procedures
- Develop, maintain, and update spreadsheets for personnel, budget, and travel actions
- Research and propose new administrative procedures
- Prepare reports to include monthly expenditures, forecasts, and staffing allocations
- Prepare a variety of personnel actions; monitor status to ensure that deadlines are met
- Coordinate the preparation of a variety of items such as travel requests, professional service orders, requests for sponsored travel Form 348, outside activities Form 520,official duty memoranda, training requests, individual mass mailings, correspondence,reports and various forms; maintain copies of all travel orders and vouchers in the established office file
- Prepare inventory and purchase requests; assists with property management by serving asa property custodian for assigned areas
- Prepare supply orders via POTS with government approval and ensure proper deliveryand receiving of items
- Set up and format spreadsheets to analyze information
- Gather and analyze information about processes and programs; prepare reports, letters,and other documents for review and input for programs, policies, and activities
- Coordinate the printing and conversion of paper documents to electronic files
- Develop, maintain and utilize various administrative databases
- Compile data and create and maintain PowerPoint presentations for presentation utilizingcomputer programs
- Maintain contacts database; updatemaintain calendars and shared calendars for multiplestaff members
- Coordinate meetings, workshops and courses for staff; schedule conference rooms
- Maintain office records including office procurements and reimbursement procedures
- Assist with timekeeping tasks
- Assist with annual reports, PubMed Central submissions and other publication-relatedduties
- Design and coordinate systems for communications among staff to facilitate the efficientflow of information relating to projects and program activities
- Maintain branch file systems for correspondence and projects
- Note commitments made by executive level during meetings and arrange for staffimplementation
- Arrange for staff member to represent organization at conferences and meetings, establishappointment priorities, or reschedule or refuse appointments or invitations
- Read outgoing correspondence for executive levels approval and alert writers to anyconflict with the file or departure from policies or executive levels viewpoints; makerecommendations to resolve problems that arise
- Assist Leadership, in their absence, to ensure that requests for action or information arerelayed to the appropriate staff; triage notifications to executive level based on level ofimportance
- Summarize the content of incoming materials, specially gathered information, ormeetings to assist executive; coordinate the new information with background officesources; draw attention to important parts or conflicts
- Compose correspondence requiring some understanding of technical matters within theprogram
- Update and develop content for websites and monitor for currency and accuracy ofinformation
- Orient new personnel to the laboratory
- Initiate training of new administrative personnel
Qualifications:
- Bachelor’s degree and ten years' experience
- Demonstrated proficiency in Microsoft Office
- Knowledge of NIH procurement, purchasing and administrative systems
