Job summary

Nichebox in Miami is seeking an experienced Operations Coordinator to join our growing Americas team, supporting order management, distribution and logistics for luxury fragrance brands. You will own the end-to-end order-to-dispatch cycle, coordinate SAP workflows, manage stock and shipments, and collaborate across Sales, Finance and 3PL partners to ensure accuracy and on-time delivery.

Qualifications

• 3+ years’ experience in operations, order management or distribution.
• Experience with SAP and wholesale/retail logistics.
• Advanced Excel skills.
• Strong problem‑solving and communication abilities.

Responsibilities

• Manage wholesale orders in SAP from receipt through to dispatch and invoicing, ensuring accuracy throughout the process
• Coordinate customer communications, order follow‑ups, transportation and export requirements across the Americas
• Manage distribution and export activity, including sanitary registrations and retail reporting
• Support major department‑store dropship accounts and off‑price customer shipments
• Manage Amazon FBA operations, including consignment orders, stock movements, sales reporting and invoicing
• Work closely with 3PL warehouse partners, including warehouse activity, stock counts, packaging requirements and invoice queries
• Maintain accurate SAP data, including Material Master, Business Partners and pricing conditions
• Produce and maintain weekly and monthly sales, wholesale, stock and shipping reports and trackers
• Reconcile reporting against SAP and support regular audits to ensure data accuracy
• Coordinate boutique replenishment and stock transfers across US retail locations
• Monitor logistics and collateral spend, investigate discrepancies and support effective budget management
• Act as a key point of contact for Regional and Sales Directors on order, stock and shipping information
• Identify operational issues and take a proactive, solutions‑focused approach to keeping things moving

Supporting our growing Americas operations across order management, distribution & logistics.

Nichebox is looking for an experienced Operations Coordinator to join our growing team in Miami, supporting the operations and distribution of our luxury fragrance brands, Clive Christian and Liquides Imaginaires, across the Americas region.

As our US business continues to grow across wholesale, department stores, Amazon and retail boutiques, this is an exciting opportunity for someone who enjoys working in a hands‑on, fast‑paced environment where accuracy, organisation and problem‑solving are key.

Working closely with our UK Operations & Supply Chain team, Finance, Sales, retailers and 3PL partners, you'll take ownership of the order-to-dispatch cycle, ensuring orders, stock, shipments and reporting are managed accurately, efficiently and on time.

What we’re looking for

• 3+ years’ experience in operations, order management or distribution, ideally within luxury, beauty, retail or premium consumer goods
• Minimum 2–3 years of hands‑on SAP experience
• Advanced Excel skills
• Experience with wholesale distribution, export documentation and retailer routing requirements
• Experience working with 3PL warehouses, department‑store dropship programmes and/or Amazon FBA would be an advantage
• Familiarity with Amazon Seller Central, WMS, DSCO, SPS Analytics, Intertrade and Shopify would be an advantage
• Highly organised and detail‑oriented
• Clear and proactive communicator, comfortable working with customers, retailers, warehouse partners and internal stakeholders
• Pragmatic and solutions‑focused, with the ability to resolve issues quickly and calmly
• Fluent English is essential; Spanish and/or additional languages would be an advantage
