Job summary

Sulzer is seeking an Operations Coordinator in Santa Ana to coordinate administrative, customer-facing, and operational activities. You will manage customer portals, process invoices, and support cross-functional teams in a manufacturing environment.

The role requires strong organizational and communication skills, a high school diploma or higher, and 5+ years of related experience. Proficiency in MS Office and ERP systems is preferred. This on-site position offers comprehensive benefits.

Qualifications

  • High school diploma or equivalent required; Associate’s or Bachelor’s degree preferred.
  • 5+ years of administrative, operations, customer service, office management, or related experience.
  • Experience supporting multiple departments in a manufacturing or industrial environment preferred.
  • Strong organizational, time management, and follow-up skills.
  • Demonstrated ability to independently prioritize work and drive assignments to completion.
  • Excellent verbal and written communication skills.
  • Proficient in Microsoft Office (Outlook, Excel, Word, Teams)
  • Experience with ERP systems (Visual and/or SAP preferred) and customer portals is a plus.
  • Ability to manage multiple projects and shifting priorities in a fast-paced environment.
  • Strong attention to detail.

Responsibilities

  • Coordinate and execute a wide range of administrative, customer-facing, and operational activities.
  • Manage customer portals, including order entry, invoice submission, documentation uploads, and account maintenance.
  • Coordinate with shared service teams to resolve invoice, payment, accounts receivable, and accounts payable issues.
  • Track and follow up on customer, vendor, and internal requests to ensure timely resolution.
  • Prepare and maintain business correspondence, contracts, records, and administrative documentation.
  • Coordinate office, factory, and site administrative activities, including vendor and contractor support.
  • Support facility organization, 5S initiatives, and workplace improvement activities.
  • Assist with special projects and action items assigned by management.
  • Act as a liaison between departments to ensure tasks are completed accurately and on schedule.
