Job summary

Adistec is seeking a detail-oriented Operations Coordinator in Florida to support daily operations by coordinating orders, managing vendor relationships, and ensuring efficient and accurate business processes.

You will coordinate all operations activities to ensure high-quality order processing, translate sales orders into vendor POs, monitor costs and margins, and keep open communication with the sales team and vendors. Travel up to 25% may be required.

Qualifications

  • Bachelor's degree or graduate degree in Business Administration, or a related field (Required).
  • Minimum of 3 years of experience in Logistics, Purchasing, Order Management, or Administration (Preferably).
  • Experience supervising and managing personnel (Required).
  • Intermediate proficiency in Microsoft Office (Required).
  • Advanced Spanish and English proficiency (Required).

Responsibilities

  • Coordinate all operations activities to ensure high-quality orders processing.
  • Coordinate orders from the sales department and convert them into purchase orders to vendors.
  • Control costs and margins of all sales orders.
  • Maintain open communication with the sales department to follow up on order progress.
  • Communicate with vendors to ensure correct processing of all purchase orders.
  • Attend vendor procedures trainings and updates.
  • Maintain professional knowledge through workshops, publications, networks, and growth activities.
  • Analyze Real Costs Monthly Reports.
  • Analyze End of Month Inventory Report and coordinate with Sales and Operations Regional Manager to balance stock to meet customer needs while avoiding overstocking.
  • Organize meetings with the Operation Specialists.
  • Coordinate software invoicing.
  • Request RMAs and stay up to date with RMA policies.
  • Performs other related duties as assigned.

Position Summary

This role supports daily operations by coordinating orders, managing vendor relationships, and ensuring efficient and accurate business processes.

Key Responsibilities
  • Coordinate all operations activities to ensure high-quality orders processing.
  • Coordinates orders coming from the sales department and converts them in purchase orders to vendors.
  • Controls the costs and margins of all sales orders.
  • Maintain an open communication channel with the sales department to follow up and update on the progress of orders.
  • Communicates with vendors to ensure the correct processing of all purchase orders.
  • Attend new vendor orders procedures trainings and updates on the existing ones.
  • Maintain professional knowledge by attending educational workshops, reviewing professional publications, establishing personal networks and participating in any other activity that could contribute to the person’s professional growth.
  • Analyze Real Costs Monthly Reports.
  • Analyze End of Month Inventory Report and work with the sales team and Operations Regional Manager in ensuring the organization has the right amount of stock to meet customer needs and also to avoid overstocking.

This is a full-time position. Days and hours of work are Monday through Friday, 9:00 a.m. to 6 p.m.

Additional Information:

Must be willing to travel up to 25% of the time, both domestically and internationally, depending on business needs.
