Operations Associate
Schedule: Monday-Friday, 7:00 AM to 4:00 PM
Overtime and occasional weekends may be required based on business needs.
Position Overview

We are seeking a motivated and customer-focused Operations Associate to support workplace operations and facility services in a fast-paced environment. This role requires excellent customer service skills, strong attention to detail, and the ability to perform both administrative and hands-on tasks. The ideal candidate will take pride in creating a positive workplace experience while supporting facility operations, event coordination, inventory management, furniture assembly, and workplace improvement projects.

Key Responsibilities
Workplace Operations & Customer Service
  • Deliver exceptional customer service by responding promptly to workplace requests and ensuring tasks are completed accurately and efficiently.
  • Assist in maintaining a clean, organized, and welcoming workplace environment.
  • Monitor facility spaces to ensure positive and productive employee experience.
Task Request Management
  • Partner with the Workplace Supervisor and Coordinator to prioritize and complete daily task requests.
  • Respond to and resolve requests submitted through the ticketing system, including workplace maintenance, restocking, repairs, and general facility support.
  • Troubleshoot issues and provide timely solutions to workplace concerns.
Event Support
  • Support the setup, staffing, and breakdown of meetings, events, and workplace activities.
  • Collaborate with the Workplace Team to ensure successful execution of onsite events.
Furniture Assembly & Workspace Setup
  • Assemble and deploy office furniture, including desks, chairs, storage cabinets, shelving, and workstations.
  • Assist with workspace reconfigurations and facility improvements.
Breakroom Management
  • Maintain breakroom areas to ensure cleanliness and functionality.
  • Prepare coffee, maintain beverage equipment, and replenish supplies as needed.
  • Monitor and service beverage stations, including soda machines and related equipment.
Inventory Management
  • Conduct regular inventory audits of workplace and breakroom supplies.
  • Track inventory levels and communicate replenishment needs to management.
  • Maintain appropriate stock levels to support daily operations.
Shipping & Receiving
  • Serve as the point of contact for incoming large shipments and deliveries.
  • Organize and maintain storage areas to ensure operational efficiency.
Cable Management & Facility Maintenance
  • Perform cable management throughout the facility to maintain safe and organized workspaces.
  • Ensure workstations remain neat, professional, and free from potential safety hazards.
Moves & Relocations
  • Assist with and lead departmental moves within the facility and other company locations.
  • Coordinate logistics and workspace setups to ensure smooth transitions.
Vendor Coordination
  • Coordinate with vendors and contractors supporting moves, cable management, and facility projects.
  • Ensure vendor documentation is current and security requirements are met before work begins.
  • Oversee onsite vendor activities to ensure quality and compliance.
Projects & Continuous Improvement
  • Support workplace and facility improvement projects from planning through completion.
  • Assist in developing, implementing, and maintaining workplace processes and procedures.
  • Identify opportunities for continuous improvement and help drive operational efficiencies.

  • Strong organizational, communication, and problem-solving abilities.
  • Ability to work independently and as part of a team.
  • Hands-on experience with furniture assembly, moving equipment, or facility-related tasks.
  • Ability to lift, move, and transport boxes, furniture, and other large items safely.
  • Strong attention to detail and follow-through.
  • Ability to manage multiple tasks and priorities in a fast-paced environment.
  • Proficiency with Microsoft Office Suite and general computer applications.
Preferred Qualifications
  • Experience in workplace operations, facilities, hospitality, property management, or a related field.
  • Experience with ticketing systems, inventory management, and workplace services.
  • Familiarity with BlueBeam Revu or similar software.
