Job summary

Persona AI is seeking a highly organized Talent Acquisition Coordinator to support our People Operations team in Houston. You’ll own interview scheduling, travel logistics, and candidate experience from first outreach through offer, working closely with recruiters and hiring managers on high-volume manufacturing hiring.

This fully onsite role requires exceptional calendar management, problem solving in real time, and a proactive service mindset to keep hiring moving as we scale our robotics

Qualifications

• 3+ years coordinating, administrative, or customer-facing experience; recruiting/HR preferred.
• Exceptional organization and follow-through with many moving pieces.
• Experience booking and managing business travel and resolving itinerary issues in real time.
• Clear, warm written and verbal communication with candidates and teams.
• Calendar management across multiple stakeholders, time zones, and shifts with good judgment when to escalate.
• Proactive, service-minded approach and care for every candidate's experience.
• Comfort working with ambiguity as processes are built.
• Discretion handling confidential information.

Responsibilities

• Own interview scheduling end to end, including multi-panel on sites and shift-based interviews.
• Book and manage candidate travel—flights, hotels, ground transport—and be the point of contact during the trip.
• Serve as primary contact from initial outreach through offer and host candidates onsite.
• Support high-volume manufacturing hiring by managing candidate flow, batch interviews, and events.
• Handle onsite interview logistics, room bookings, and day-of scheduling changes.
• Maintain accurate ATS data for reporting, compliance, and process consistency.
• Partner with recruiters and hiring managers on panel coverage, debriefs, and offer logistics.
• Build templates, workflows, and docs to scale recruiting and flag bottlenecks.
• Support new hire onboarding logistics with People Operations.
