Job summary

Mr. Greens Produce is seeking an HR Onboarding Specialist to manage onboarding and offboarding processes, coordinating with hiring managers, IT, and other departments to ensure a smooth transition for new hires.

This role reports to the HR Manager and emphasizes accurate data entry into HRIS, administration of required forms, and compliant pre-employment steps. The position is based in Miami, FL, with standard full-time hours.

Qualifications

• 2+ years HR experience, preferably as HR Coordinator or assistant.
• Excellent written and oral communication skills.
• Able to work in a dynamic environment.
• Experience using Paycom HRIS (preferred).
• Proficiency in Microsoft Office (Word, Outlook, PowerPoint).

Responsibilities

• Act as primary contact for onboarding, coordinating with Administration and credentialing.
• Coordinate new-hire orientation and onboarding workflows.
• Enter new hire data into HRIS accurately.
• Collaborate with Hiring Managers, IT and other departments to prepare for new hires.
• Arrange pre-employment steps including drug tests and DOT if applicable.
• Ensure onboarding paperwork is complete and properly filed.
• Support HR Manager and Talent Acquisition activities.
• Manage the electronic onboarding system and provide timely answers to new hires.

Position Title: HR Onboarding Specialist

Position Status: Full Time/ Non-Exempt

Report to: HR Manager

Overview

Mr. Greens has proudly grown into one of the largest privately-owned produce distributors in Florida. With deliveries 365-days a year, 7-days a week and multiple runs per day, Mr. Greens has set the gold standard for service. Mr. Greens serves a large variety of clients, including restaurants, hotels, country clubs, caterers, grocery stores and retail outlets.

Summary

The HR onboarding specialist provides on boarding and offboarding support by hiring managers and new employees during their induction or exit and ensure a smooth transition.

Accountabilities

• Act as a key contact for all issues related to on-boarding and monitors progress, includes interdepartmental communication with Administration, and credentialing to ensure a smooth hiring process for the new candidates
• Coordination of Orientation
• Preparing new hires for first day of work.
• Entering all new hire data into HRIS
• Partnering with Hiring Managers, IT, and other necessary departments to prepare for new hires
• Plan and execute employee birthdays and appreciation events
• Sending out new hire welcome packets containing required payroll forms, i-9s, benefits information, and other basic company information;
• Arrange for new hires to complete pre-employment drug test and DOT physical if applicable
• Ensure all required onboarding paperwork is complete and filed
• Works closely with Talent Acquisition Manager and HR Manager
• Manages electronic new hire Onboarding system.
• Assist the hiring manager with ordering company equipment such as cell phones, pay cards and e-mail address
• Provide new hires with answers to questions, work with the hiring managers to make sure they receive the support needed
• Provide and document the required safety and compliance training for the new team member to begin his/her assignment
• Performs other duties and responsibilities as assigned.
