About the Role
Onboarding Specialists own every new customer's journey from signed contract to go-live. You'll run our largest implementations end to end: building project plans, coordinating data migrations, standing up SSO, and guiding customer IT and security stakeholders through technical rollouts. At the same time, you'll build the scaled onboarding motion for our smaller customers: cohort kickoffs, group training, and self-serve resources that cut time-to-launch without cutting quality. You're our first dedicated onboarding hire, which means you'll inherit a live queue of active implementations and build the system while running it. At go-live, you hand each customer to a Customer Success Manager who owns the ongoing relationship, renewal, and expansion. Your job is to get every customer to that handoff quickly, configured correctly, and confident in the product. The role sits at the intersection of project management, technical configuration, and teaching.
Responsibilities
Onboarding & Implementation
- Own new customer onboarding from contract signature to go-live: build the project plan, set milestones, coordinate stakeholders, and deliver on schedule
- Run enterprise implementations end to end: SSO and identity setup (SAML, Microsoft Entra, Okta), data migration, security and IT coordination, and phased rollouts across programs and locations
- Configure each customer's environment around their program structure and compliance requirements, including compliance workflows, coordinating internally on data migration and integrations
- Deliver role-based training that makes program sponsors, administrators, and field staff self-sufficient quickly
- Track time-to-launch and clear blockers proactively; no project stalls without a named owner and a next step
Scaled Onboarding
- Design and run the one-to-many motion for smaller customers: cohort kickoffs, live group training, and office hours
- Build the templates, guides, and self-serve resources that reduce per-customer onboarding hours every quarter
- Turn what you see in the field into a prioritized friction list for the product team: what should be self-serve, what should be automated, what confuses customers
Systems & Handoffs
- Define and enforce the go-live gate: a completion checklist plus a first adoption milestone before any account moves to steady state
- Bring the account's CSM in at kickoff so every customer meets their long-term owner on day one
- Own onboarding metrics and report them weekly: time-to-launch, active project count, go-live rate, and aging on anything stalled
- Build the onboarding playbook (project templates, milestone plans, training curriculum) as an early member of a growing team
Skills & Qualifications
- 4+ years in implementation, onboarding, professional services, or technical project management at a B2B SaaS company
- Proven ability to run 10+ concurrent implementations: multi-stakeholder coordination, milestone tracking, and on-time delivery
- Hands-on experience with technical implementation work: SSO and identity providers (SAML, Entra, Okta), data migration, and integrations, comfortable working directly with customer IT teams
- Experience running enterprise rollouts: security reviews, IT and procurement stakeholders, multi-month timelines
- Experience building or running one-to-many onboarding: cohorts, webinars, templated implementations
- Comfort with data: tracking cycle times and capacity, maintaining CRM hygiene (we run on HubSpot)
- Aptitude for developing deep technical product knowledge (configuration, integrations, workflows) and learning a regulated domain: Registered Apprenticeship compliance
- Training and facilitation skill: can teach a room of field users or a C-suite sponsor with equal clarity
- Writes documentation other people can actually run: project plans, status updates, playbooks
- Structured operator: runs a dozen concurrent projects without letting details slip
- Finisher: allergic to stalled projects; drives every implementation to go-live and closes every loop
- Builder: documents as they go and turns anything done twice into a template
- Proactive, not reactive: customers and teammates always know the status and the next step
- Boundary-disciplined: protects the project plan, flags scope creep early, and hands off cleanly instead of holding on
- Composed under pressure: keeps priorities straight when timelines compress and multiple accounts need attention at once
- Intellectually curious: genuinely wants to master a complex, compliance-driven product and domain
- Educational, Bereavement & Parental leave
- 20 days paid time off
- Work from home stipend
Compensation
- Equity: significant early-stage stock options
