Job summary

Blue Onyx Systems in New Berlin, WI seeks a Project Finance Specialist to own the financial side of automation projects, including purchasing, invoicing, budgeting, and time-tracking.

You will manage purchasing, billing, and project costs, generate monthly cost reports, and ensure accurate WIP and margin analysis to support leadership decisions. This in-person role requires strong QuickBooks skills and attention to detail.

Qualifications

• Bachelor’s degree in Accounting, Finance, or related field (or equivalent experience).
• 5–10 years in accounting, project accounting, or finance roles with purchasing, invoicing, and budget tracking; automation/manufacturing/engineering preferred.
• Advanced QuickBooks experience including POs, bills, estimates, invoicing, and reconciliations.
• Knowledge of job costing, WIP reporting, and month-end close.
• Strong Excel skills (pivot tables, lookups) and MS Office; ability to learn Blue Onyx tools (IXD, Teams/SharePoint, Zoho Projects).
• High attention to detail and confidentiality; capable of multi-project management.
• Excellent written and verbal communication; self-starter who can work with minimal supervision.
• This is an in-person role based in New Berlin, WI.

Responsibilities

• Manage purchasing from start to finish: create POs, enter vendor bills, record receipts, and match to invoices in QuickBooks.
• Create and send customer estimates and invoices based on milestones and change orders.
• Track labor hours against budgets and invoice accordingly.
• Build and monitor project budgets; flag overruns and margin risk early.
• Prepare monthly reports on costs, hours, margins, and purchasing for leadership.
• Manage accounts payable/receivable, including vendor payments and collections.
• Support month-end close with reconciliations, accruals, and WIP reporting.
• Partner with project teams on job costing, change orders, and billing milestones.
• Maintain accurate financial records in QuickBooks, SharePoint, and other systems.
• Improve purchasing, invoicing, and budgeting processes and controls.
