Job summary

SMOC in Virginia is seeking a dedicated Surgery Scheduler to coordinate surgeries and communications among patients, physicians, staff, and facilities. The role emphasizes organizing schedules, preoperative requirements, and accurate documentation.

Ideal candidates are detail-oriented, calm under pressure, and capable of managing multiple tasks while ensuring insurance verification, authorizations, and HIPAA guidelines are followed.

Qualifications

• Experience in surgery scheduling or medical office setting required.
• Bonus: Orthopedic practice experience.
• Familiarity with insurance verification, referrals, and prior authorization processes.
• Strong communication, organizational, and multitasking skills.
• Excellent attention to detail and deadline management.
• Ability to remain professional and calm in confidential or high-pressure situations.
• Compassionate, patient-focused, team-oriented approach.
• Proficiency in Microsoft Office (Outlook, Word, Excel).
• Bonus: EMR experience (AthenaHealth or Epic).

Responsibilities

• Schedule surgeries and procedures per physician orders and facility availability.
• Coordinate surgery dates, operating room schedules, and changes with physicians and facilities.
• Prepare and submit accurate surgery posting sheets and required documentation.
• Communicate surgery dates, locations, preoperative requirements, and physician-approved instructions to patients.
• Coordinate preoperative appointments, medical clearances, testing, and postoperative visits.
• Verify insurance coverage and coordinate prior authorizations with providers.
• Track outstanding clearances, authorizations, and documentation before surgery.
• Coordinate special equipment, implants, and vendor representatives as directed by the physician.
• Work with billing to coordinate surgical estimates and payment arrangements with patients.
• Manage surgery cancellations and rescheduling; keep all parties informed.
• Handle incoming calls, voicemails, emails, and patient correspondence professionally.
• Maintain accurate scheduling records and document patient communications in the EMR.
• Follow HIPAA guidelines and practice policies.
