Job summary

associacareers is seeking an experienced community association manager to implement board policies, oversee vendor oversight, and ensure covenant compliance across the community. You will work closely with the board, residents, and contractors to maintain high standards and coordinate initiatives.

Qualifications

  • 5+ years of community association experience.
  • CMCA, AMS, PCAM preferred.
  • Knowledge of the Association Board of Directors and community manager interfaces.
  • Customer service driven and team oriented with a consultative approach.
  • Confident in experience and collaborative spirit.
  • Strong financial acumen and ability to read financials (Balance Sheet, Income Statement).
  • Effective project management and ability to prioritize multiple projects.
  • Excellent communication skills (written and spoken) and conflict resolution.
  • Must possess a valid Driver’s License.

Responsibilities

  • Review architectural applications and update ACC records.
  • Coordinate monthly board meetings and ACC/board communications.
  • Create weekly mass communications to homeowners by mail and email.
  • Enter data and update information in the database; track documents.
  • Review financials and assist with budget creation.
  • Draft RFPs, manage bidding and vendor relationships, and capital projects.
  • Prioritize maintenance requests and coordinate vendors for onsite work.
  • Prepare ACC packages and coordinate, schedule, and attend meetings.
  • Approve and code invoices.
  • Other duties/projects as assigned.

Job Description
  • Implement Board policy and directives within the scope of the management agreement. Works with the board on strategic initiatives, policy governance, and association projects.
  • Inspect the property to verify vendor compliance, ensure the community is properly maintained, and monitor homeowner adherence to the Rules and Regulations and Design Guidelines.
  • Issues violation letters to homeowners and follow-up to ensure remedied.
  • Review architectural applications for completeness, maintain Architectural Control Committee (ACC) records, and communicate ACC decisions to homeowners through timely follow up correspondence.
  • Meet and greet homeowners, residents, members of the Board of Directors, maintenance vendors and contractors.
  • Research and respond to daily inquiries in-person, by phone, and email.
  • Enters data and updates information in the database; record and track documents and information.
  • Review financials and delinquency reports, assist with budget creation.
  • Draft RFPs, manage the bidding and vendor selection process, develop vendor relationships, and manage capital projects.
  • Prioritize maintenance requests and work orders; schedule and coordinate maintenance vendors and contractors for work to be done onsite.
  • Prepare board and architectural control committee (ACC) packages. Coordinate, schedule and attend monthly board meetings, committee meetings and annual meetings.
  • Create and send out weekly mass communications by mail and email to homeowners notifying them of maintenance onsite, HOA guidelines, and community events.
  • Issue, activate, and maintain all access controls databases (RFID tags and gate fobs)
  • Approve and code invoices.
  • Other duties/projects assigned.
Job Requirements

5+ years of community association experience.

CMCA, AMS, PCAM preferred.

Knowledge of the Association Board of Directors, community manager companies, and how those roles interface with the requests and needs of the homeowners.

Customer service driven and team oriented with a consultative approach when assisting others.

Confident in experience and collaborative spirit.

Strong financial acumen, ability to read and interpret financials, Balance Sheet, Income Statement, Operating Expenses, Reserves, Delinquency Reports, Variance Analysis.

Effective project management skills: ability to prioritize and manage multiple projects in various stages of completion and communicate with all parties involved.

Excellent communication skills (written and spoken) and conflict resolution techniques.

Must possess a valid Driver’s License
