Brigham Young University (BYU) is seeking an Office Specializations Assistant to support the Student Health Center as the first point of contact.   • Two years of front-office experience with frequent direct interaction with clients or patients.
  • Confident and courteous phone skills, with the ability to give clear directions and schedule appointments smoothly.
  • Friendly, professional demeanor with excellent interpersonal and communication abilities.
  • Highly organized with strong attention to detail.
  • Strong computer skills, including scheduling, word processing, and accurate data entry.

Responsibilities

  • Schedule appointments using provider-specific guidelines across in-person, phone, and online systems.

Office Specializations Assistant

As the first point of contact for patients at the BYU Student Health Center, this position helps create a welcoming and supportive environment grounded in compassion, collaboration, and excellence in care. In this team-focused role, you will assist with greeting, scheduling, patient check-in, and verification of demographic and insurance information. Your work directly supports student wellness and contributes to a positive experience for patients, providers, and every department within the Student Health Center.

What you'll do in this position:
  • Patient scheduling: Schedule appointments according to provider-specific guidelines using in-person, phone, and online scheduling systems.
  • Patient check-in: Welcome patients warmly and professionally, assess their needs, and create a positive first impression.
  • Verify and update patient demographic, insurance, and HIPAA-related information accurately to support smooth, compliant care.
  • Assist patients with required forms and clearly explain insurance and billing procedures.
  • Check patients in efficiently, provide direction on next steps, communicate delays, and assist with rescheduling when needed.
  • Collect and process payments for specific services using secure and accurate transaction procedures.
  • Clinic representation: Maintain knowledge of clinic services, provider specialties, policies, and procedures to help patients select appropriate care.
  • Provide front-line customer service in person and through phone, text, and other communication channels while maintaining a clean, organized, and welcoming reception
What qualifies you for this role:
Required
  • A firm commitment to the mission of BYU.
  • Two years of front-office experience with frequent direct interaction with clients or patients.
  • Confident and courteous phone skills, with the ability to give clear directions, answer patient questions, and schedule appointments smoothly.
  • Friendly, professional demeanor with excellent interpersonal and communication abilities.
  • Highly organized with strong attention to detail.
  • Strong computer skills, including scheduling, word processing, and accurate data entry.
Preferred
  • Three years of patient experience in a medical office setting.
  • Familiarity with Electronic Medical Records (EMR), provider scheduling systems, and online scheduling systems.

Pay Grade: 46

Typical Starting Pay: $17.00 - $21.50

The actual compensation offered will take into consideration internal equity and may vary based on the candidate's job-related experience, knowledge, skills, and other relevant factors. Candidates with very significant work-related experience may receive an offer higher than the posted typical range.
