Job Title: Office Services Specialist/Field Support Specialist (On Call)

Reports To: The Office Services Specialist (On Call) reports to the Client Services Supervisor, Client Services Manager, Human Resources, or equivalent leadership.

Job Overview:

The Office Services Specialist (On Call) provides exceptional office and mail services in a "floating" capacity for positions where regular employees normally work but are out of office, or if particular projects require additional coverage. This role includes assisting with mail, reception, hospitality, facilities, copy/print, or similar office functions. It is based out of a specific client "home office" and is sent to different client sites at short notice as needed. Flexibility and adaptability are essential.

This position aims to deliver the highest level of service to all client and SPS employees while maintaining a professional company image through prompt, courteous, and efficient service.

Duties and Responsibilities:

  1. Provide 5-star customer service to all employees across communication channels.
  2. Answer all calls and ensure a positive customer experience for visitors.
  3. Assist with light facilities duties, such as troubleshooting, ordering supplies, and stocking kitchens/service areas.
  4. Receive inbound mail/packages, sort, and record them using chain of custody software.
  5. Manage outgoing mail and packages.
  6. Handle shipping and receiving of materials.
  7. Notify employees upon receipt of deliveries.
  8. Distribute mail/packages to personnel.
  9. Assist with office moves.
  10. Support copy/print orders and monitor equipment.
  11. Help set up/take down conference rooms for meetings/events.
  12. Seek additional work during downtime.
  13. Build professional relationships with customers and teams.
  14. Maintain professionalism and composure in interactions.
  15. Train backups and guide on policies and procedures.
  16. Handle sensitive inquiries appropriately.
  17. Provide reception/front desk coverage as needed.
  18. Demonstrate strong verbal and written communication skills.
  19. Manage multiple tasks efficiently.
  20. Maintain good organizational skills.
  21. Possess working knowledge of MFD equipment.
  22. Understand shipping/receiving procedures and instructions.
  23. Work independently to complete projects.
  24. Determine proper packing methods and validate packing slips for incoming/outgoing materials.
  25. Work flexible hours as required.

Qualifications and Education Requirements:

  1. High School Diploma or equivalent.
  2. 6+ months prior work experience preferred.
  3. Ability to work assigned hours as determined by management.
  4. Excellent organizational and time management skills.
  5. Analytical and problem-solving abilities.
  6. Excellent written and verbal communication skills.
  7. Ability to learn and use computer-based systems.
  8. Maintain a professional appearance and attitude.
  9. Adhere to all policies and procedures.

Physical Demands:

  1. Approximately 50% of the time involves physical activities such as grasping, lifting (up to 60 lbs.), walking, bending, kneeling, standing, sitting, and operating office machinery.
  2. Manual dexterity for operating office equipment.
  3. Ability to lift or move 40 lbs. frequently.

Travel: None or negligible.
