Responsibilities

Position Overview

  • Oversee daily office operations.
  • Provide excellent customer service while maintaining confidentiality.
  • Manage multiline phone systems.
  • Perform daily administrative and clerical tasks.
  • Manage office supplies and equipment.
  • Support office staff with various needs.

Additional Responsibilities:

  • Answer calls and emails, directing as needed.
  • Interact professionally with staff and visitors.
  • Assist with new hire setup.
  • Update staff directory regularly.
  • Order office and program supplies.
  • Order safety and security supplies as needed.
  • Procure marketing materials from YV catalog.
  • Process invoices, purchase requests, and check requests.
  • Maintain vendor and subcontractor contracts.
  • Manage petty cash transactions.
  • Organize trainings, events, and meetings logistics.
  • Document meeting minutes.
  • Coordinate with IT, finance, HR, and other departments.
  • Operate and maintain office equipment and software.
  • Maintain IT equipment inventory.
  • Conduct safety checks and emergency preparedness activities.
  • Coordinate office maintenance and safety needs.

Requirements

  • High School Diploma or GED with relevant experience.
  • Administrative and office management experience.
  • Experience handling confidential information, understanding HIPAA.
  • Proficiency with Microsoft Office Suite and confidence with technology.
  • High accuracy and organizational skills.
  • Ability to work independently and take ownership of tasks.
  • Professional attitude and excellent communication skills.
  • Flexible with changing priorities.

Work Schedule: Part-time, 3 days per week (Monday, Tuesday, Thursday), totaling 24 hours.

Location: Office in Manchester, NH. Monthly travel to Plymouth, NH.
