Position Summary

The Office Manager is responsible for the daily administrative, customer service, and accounting functions within the office. This includes supervising billing clerks, collections, customer service, payables, and payroll/HR functions. The Office Manager will assist Regional Staff, Division Manager, Operations Manager, and Sales Manager in completing all reporting requirements.

Essential Job Functions

  • Manage all administrative functions in the office.
  • Coordinate with billing staff to ensure accurate customer billing.
  • Prepare and input monthly billing journal entries.
  • Manage credit processing procedures.
  • Oversee customer service department, including scheduling, training, and evaluations.
  • Oversee coding and processing of payables, ensuring approval processes.
  • Work with collections to ensure timely collection of customer accounts for cash flow.
  • Complete weekly accounts receivable reports and review with management for DSO improvements.
  • Ensure segregation of duties within the office.
  • Manage deposits for local payments.
  • Maintain professional communication with customers and employees.
  • Prepare monthly revenue projections for management.
  • Reconcile disposal invoices with billing/dispatch system.
  • Complete and file franchise reports monthly and quarterly.
  • Assist with financial and statistical data entry for productivity reports.
  • Support or perform payroll and HR functions accurately and timely.

Other Responsibilities

  • Participate in company-sponsored training courses.
  • Stay updated on current technology used by Waste Pro USA.
  • Perform additional duties as assigned by supervisor.
