Ohio Wesleyan University, a selective, private, undergraduate liberal arts, residential institution founded in 1842 and located just 20 miles north of Columbus, is seeking candidates for the position of Office Manager and Executive Administrative Assistant. Job Summary:
The Office Coordinator and Executive Administrative Assistant for the Vice President of Finance, Administration and Treasurer has a key role in improving and optimizing the efficiency and effectiveness of the Finance and Administration Division. This role interfaces with individuals on and off campus and includes the handling of confidential and sensitive information. The Office Coordinator and Executive Administrative Assistant will assist the VPFA and FA leadership in preparation for Board of Trustee meetings and various campus meetings, including development and editing of presentation materials and logistical needs. This position will support Accounting and Budgeting, Procurement, Facilities, Human Resources and Events. This position reports directly to the VPFA.
Responsibilities and Duties:
Direct and manage the daily operations, functions and responsibilities of the VPFA’s office including confidential correspondence, event management and planning.
Proactively review the VPFA’s calendar and schedule with meticulous attention, ensuring optimal time use and prioritization.
Facilitate communication and collaboration across all levels of the division, enhancing operational effectiveness.
Serves as the primary contact representing the VPFA’s Office to the OWU community and beyond.
Ensures quality in services and an outstanding customer experience for internal and external stakeholders.
Draft and or finalize related communications while maintaining the confidentiality and accuracy of all correspondence, agreements, contracts and related files.
Provide logistical support for various Board of Trustee committees and committees of internal stakeholders. Provide travel and lodging accommodations to guests as needed.
Minimum Qualifications
The ideal candidate will possess the following:
Bachelor’s Degree in accounting, business, or finance fields. In lieu of a degree, any appropriate combination of relevant education, experience and/or certifications may be considered.
Minimum 5 years of administrative or accounting experience.
Strong administrative, organizational, planning and analytical skills; high degree of accuracy, timeliness and attention to detail.
Excellent oral and written communication skills.
Advanced Microsoft Suite experience including PowerPoint, Word, and Excel. Experience with Google tools beneficial.
Highly developed interpersonal skills with a professional yet accessible demeanor.
