We’re looking for a part-time Office Manager / Administrative Assistant to oversee purchasing and keep our office and team running smoothly. Day to day, that means sourcing and ordering what people need, monitoring delivery timelines and following up on orders, handling the everyday logistics of running a growing robotics company — deliveries, supplies, and the like — and providing administrative support on HR and accounting paperwork such as new-hire onboarding, healthcare elections, and invoicing.
You’re not expected to anticipate everyone’s needs on day one. As you get to know our team, our vendors, and how the business runs, you’ll build up the context to start anticipating what’s coming — flagging reorders before we run low, getting ahead of lead times — but that’s something you’ll grow into over time, not a starting expectation.
This role requires good judgment as much as it requires organization. When someone says “I need X cable” or “I need a specific fastener,” we need to trust that you’ll track down the right part — not just the first or cheapest option on Amazon. We’re happy to point you to the standard vendors we already rely on for certain categories, but you’ll need the instinct to know when a substitute is fine and when it isn’t.
One clarification on scope: we want this role to support HR and accounting with paperwork and process — not to be our HR and accounting department. You’ll help process forms, keep onboarding and benefits paperwork moving, and assist with invoicing, but the substantive HR and accounting work (policy, compliance, payroll, financial decisions) stays with the people who own those functions. Think administrative support alongside them, not ownership of the function itself.
