Job description

Responsible for planning and directing the billing and office support functions. This position oversees administrative services and operations for the care center, including billing, purchasing, human resources, communication systems, space utilization, administrative support, and mail services. It also coordinates systems and procedures with medical records, data entry, claims review, and personnel functions to ensure efficient operations.

Responsibilities
  1. Ensure efficient, accurate, and timely payroll operations and compliance with payroll policies.
  2. Review patient charts for billing accuracy before processing to ensure compliance with billing requirements.
  3. Promote compliance with fiscal intermediary and third-party payors through education and coaching.
  4. Maintain knowledge of and ensure compliance with all relevant federal, state, and local billing regulations.
  5. Oversee and provide guidance to the Records Coordinator to ensure quality and accuracy of medical records.
  6. Participate in screening, interviewing, and hiring for the Records Coordinator position.
  7. Conduct performance appraisals and competency reviews for staff as needed.
  8. Assist the Director in maintaining audit and licensure documentation, including policies, procedures, and personnel records.
  9. Perform human resource functions in line with policies, including ensuring employee documentation compliance.
  10. Provide orientation for new staff members.
  11. Monitor office systems, identify problems, and develop action plans for improvements.
  12. Reconcile petty cash and expenses.
  13. Process accounts payable according to policies.
  14. Manage office and medical supplies inventory and orders.
  15. Maintain and troubleshoot mobile device supplies and issues.
  16. In absence of an intake coordinator, manage referral and intake processes.
  17. Perform other duties as assigned.
Qualifications
Required
  1. High school diploma or GED.
  2. At least 2 years of office or related experience.
  3. Excellent communication skills suitable for all ages, especially the geriatric population.
  4. Strong computer and software skills.
  5. Knowledge of personnel management, record keeping, and office administration.
Preferred
  1. Bachelor's Degree in business or related field.
  2. Experience in a healthcare setting.
