Management/Supervision Full Time, Day Shift, 8am - 5pm
The Medical Office Manager (MOM) reports to the Practice Physician and/or the Practice Administrator. Under the direction of the Practice Physician, the Medical Office Manager will provide superior clinical patient care. Additionally, they will supervise the clinical and secretarial staff at the practice.
Responsibilities include:
- Supervising all Certified Medical Assistants (CMA) and Medical Receptionists (MR).
- Preparing weekly office schedules and coordinating staff rotations across practices.
- Coaching, mentoring, and fostering teamwork among staff, including counseling behaviors.
- Entering, maintaining, and reporting using Electronic Medical Records (EMR).
- Investigating outpatient denials related to diagnosis and procedure coding.
- Updating patient files to ensure accuracy, confidentiality, and compliance.
- Greeting, checking in, and checking out patients; informing staff of patient arrivals.
- Taking vital signs and recording medical history in EMR.
- Performing venipuncture and electrocardiograms as ordered.
- Handling laboratory specimens and ensuring proper labeling and preservation.
- Providing patients with privacy, comfort, safety, and hygiene.
- Assisting physicians during examinations and explaining procedures to patients.
- Managing referrals, insurance authorizations, and transmitting patient information for prescriptions, labs, and imaging.
- Scheduling, rescheduling, and following up on patient appointments.
- Handling billing and bookkeeping tasks.
- Answering calls, greeting vendors, and managing correspondence.
- Maintaining physicians' calendars and inventory of supplies and equipment.
- Preparing deposits and overseeing charge entry, coding, and posting.
- Ensuring cleanliness and orderliness of waiting and reception areas.
- Monitoring refrigerator temperatures for vaccines.
- Acting as a liaison with patients, healthcare professionals, and families.
- Performing other clinical and administrative duties as assigned.
