Job Description

Summary: Coordinates daily office operations, supports field operations through customer service expediting, collaborates closely with company owners and management to ensure efficient administrative functions. Exercises independent judgment in compliance with company policies.

Essential Duties and Responsibilities:
  1. Manage daily office operations, including answering calls, responding to emails, managing schedules, organizing work folders, and customer service.
  2. Perform administrative tasks such as data entry, bookkeeping, invoicing, and payroll support.
  3. Serve as a customer service champion internally and externally.
  4. Prepare customer contracts, secure approvals, and maintain records.
  5. Provide excellent customer service to clients, vendors, and team members.
  6. Respond to customer inquiries with research, expediting, and follow-up.
  7. Assist with recruitment, hiring, and maintaining employee records.
  8. Support the preparation of reports and presentations for management.
  9. Manage inventory of office supplies and equipment, suggest and coordinate purchases within budget.
  10. Assist in developing and implementing company policies and procedures.
  11. Collaborate with owners to safeguard technology platforms.
Supervisory Responsibilities:

None formal; work with owners and management on troubleshooting, strategic planning, and policy suggestions. Oversee compliance with procedures.

Qualifications:

High school diploma or equivalent required. 3+ years of office and customer service experience preferred.

Knowledge and Skills:
  • Customer service expertise, relationship building, project expediting.
  • Strong communication skills, written and verbal.
  • Office coordination experience preferred.
  • Excellent organizational and time management skills.
  • Ability to multitask and prioritize.
  • Proficiency in Microsoft Office and QuickBooks.
  • Experience with recruiting and onboarding.
  • Strong interpersonal skills, patience, diplomacy.
  • Ability to work in a fast-paced environment.
  • Attention to detail, problem-solving, organizational, analytical skills.
  • Basic math skills, ability to interpret data.
  • Fluent in English, able to follow written instructions.
