Position Functions: To assist and take on projects as needed, supporting the agency’s mission. To support senior administrative staff and ensure smooth office operations, including scheduling maintenance, managing supplies, maintaining filing systems, preparing correspondence, managing credit cards and vendor files, overseeing guardianship and trust reports, handling accounts payable and receivable, and providing general office support such as answering phones, greeting guests, and running errands.

Primary Responsibilities:

  • Manage the administrative office professionally, promoting teamwork and respect.
  • Maintain guardianship documentation and foster positive relationships with courts and guardians.
  • Prepare and review bank deposits promptly.
  • Invoice and track payments, communicate with providers and trainers.
  • Order supplies and oversee office equipment maintenance.
  • Monitor trust reports and coordinate with managers for revisions.
  • Handle mail collection and distribution as backup.
  • Manage accounts payable via QuickBooks, assist with accounts receivable, and maintain related spreadsheets.
  • Support daily office operations, including answering phones, greeting visitors, and maintaining the environment.
  • Coordinate maintenance needs and site reports.
  • Maintain inventory and oversee equipment warranties and contracts.
  • Source vendors and negotiate contracts for cost savings.
  • File AP and guardianship documents routinely.
  • Track fleet registration renewals.
  • Perform other tasks as assigned by leadership.

Qualifications/Requirements:

  • High school diploma or equivalent; proficient with computers.
  • Excellent communication skills and a positive representation of the agency.
  • Organized with ability to manage multiple projects.
  • At least 2 years’ experience in an office setting, including AP.
