Wright’s Media is a content licensing agency that provides Sales, Marketing, and Client Success services to some of the world's largest publishers and media brands, including Cosmopolitan, Forbes, Dow Jones, Glamour, Yahoo, The New York Times, and Vogue.

What You’ll Do

This role plays an integral part in daily operations, including office administration, payroll, human resources, and executive support, as a key point of contact for employees and leadership. The ideal candidate is highly organized, proactive, and adept at multitasking. The candidate must also be able to manage confidential information with discretion and professionalism.

Job Responsibilities and Tasks

  • Prepare and execute payroll through the PEO system portal, as well as coordinate incentive plan payments.
  • Monitor and update budgets, including tracking expenditures, and generate reports.
  • Assist with creating presentations, reports, and other materials for leadership.
  • Administer the HR process, including creating offer letters, employee agreements, and new hire paperwork.
  • Facilitate interviews, reference checks, and onboarding schedules of new hires.
  • Manage questions and leads that come from our corporate website.
  • Oversee coordination for marketing events, review contracts, and event schedules.
  • Maintain and update CRM with leads, accounts, agreements, and opportunities.
  • Maintain company records, including organization charts, seating charts, and contact lists.
  • Coordinate and plan company events and catering.
  • Coordinate travel arrangements and prepare expense reports for executives.
  • Maintain inventory of office supplies.
  • Maintain company handbooks, holiday lists, and PTO calendars.
  • Manage timekeeping and approval in the PEO system, ensuring accurate payroll, including verifying commission payments.
  • Maintain company legal documents (organizational documents, certificates, tax returns, etc.).
  • Coordinate with insurance brokers for annual policy renewals (property, professional liability, etc.) and certificates.
  • Coordinate with building management regarding facility maintenance/building issues, etc.

Skills and Qualifications

  • 12+ years of experience in office operations and strategic administrative support
  • Expert in processing and managing payroll through PEO systems
  • Proficiency with the Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook
  • Experience in handling confidential information (including payroll) with discretion
  • Comfortable managing and tracking office expenses, developing budgets, and ensuring cost-effectiveness
  • Ability to efficiently schedule meetings, appointments, and events, and to plan office activities
  • Skilled in managing and maintaining office databases, ensuring data accuracy and accessibility
  • Experience with CRM & PEO systems (Salesforce experience is a plus)
  • Experience managing projects, including planning, execution, and monitoring progress
  • Strong verbal and written communication skills to effectively interact with staff, clients, and vendors
  • Ability to prioritize tasks, manage time effectively, and maintain a well-organized office environment
  • Knowledge of relevant regulations and policies, and the ability to ensure the office complies with them
  • Ability to adjust to changing priorities and manage unexpected situations with flexibility
