ICON Builders is seeking a motivated Office Manager to work full time on site at our Tempe, Arizona office.

This individual will be responsible for overseeing day-to-day office operations, providing administrative support, and delivering exceptional customer service.

  • Manage and distribute all incoming and outgoing mail and packages
  • Maintain and replenish inventory of office/kitchen supplies and equipment (including paper and toner, etc.)
  • Manage the organization and cleanliness of office/kitchen
  • Work with supply vendors to ensure best pricing for office supplies
  • Communicate with building management and maintenance as needed
  • Manage and coordinate the scheduling of conference and training rooms
  • Coordinate lunches/meals for meetings and team events as needed
  • Manage office vendors and service/maintenance scheduling (plant care, equipment servicing, janitorial, etc.)
  • Manage main company phone line; greet callers and route to proper parties
  • Manage and greet incoming guests
  • Ensure office is locked outside of business hours and unlocked during business hours
  • Coordinate travel arrangements for traveling staff; manage company travel credits
  • Follow and enforce company policies as related to the office/operations
  • Support Leadership Team and the Project Management with administrative functions as needed

Accounting Support

  • Support Accounts Payable with invoice processing and filing
  • Support General Accountant with filing, special projects, and research as needed
  • Support Accounting Team with other administrative tasks as needed

Contract Admin Support

  • Support Contract Team with subcontractor compliance utilizing online software
  • Support Contract Team with document distribution to field teams
  • Support Contract Team with other administrative tasks as needed

REQUIREMENTS & QUALIFICATIONS:

  • Experience maintaining an office with 15+ employees
  • Detail-oriented and highly organized
  • Ability to handle multiple priorities and meet deadlines in a fast-paced environment
  • Strong verbal and written communication skills
  • Intermediate computer skills, including Microsoft Outlook, Word and Excel
  • Ability to work within the position’s schedule (M-F, 8:00am – 5:00pm)
  • Ability to work on-site at Tempe, Arizona office
  • Ability to routinely lift/move 25 pounds
