The Department of Internal Medicine is the largest and most complex Department in the Morsani College of Medicine with over 26 Divisions, Programs and Centers/Institutes, total human resources in excess of 1,000, and an annual all-source budget in excess of $143,000,000. The Department's ongoing growth includes the restructure of Cardiovascular Sciences from a separate Department to a Division, support of the microbiome initiative, and the execution of clinical, research and education initiatives focused on COVID-19 and emerging infectious diseases. The mission of the Department is to rank among the elite in the nation in the areas of education, research and patient care. The Department provides education and training for a diverse group of medical students, residents, fellows and health personnel from USF and throughout the world.

The Office Manager provides administrative and operational support to the Division of Allergy and Immunology. This position reports directly to the Division Administrator to determine how best to meet the administrative requirements for the area. This position operates under regular deadline pressure in order to meet administrative and human resource requirements. The office manager also maintains the divisional calendar and aids in developing the physician calendar for the fiscal year, working alongside faculty and GME Fellow administration.
Responsibilities
Support the Division leadership (Administrator and Chief) in the development of the annual budget, including providing data and compilations as requested. Assist in ensuring the Division's performance against the budget.
Manages logistics of recruitment of new Faculty, interfacing with them to make sure any recruiting visits are well organized and the candidate feels supported. Primary responsibility to keep Qgenda updated and accurate for all provider schedules. Follow all Departmental protocols and best practices as relates to.
Maintain updated contract files for the Division. This includes ensuring that the master files are housed centrally in finance, with copies at the Division level. Notify the Division Administrator and Division Chief of upcoming contract dates of renewal/termination.
Manage Division Chief’s calendar, schedule meetings, travel, and other general administrative paperwork. Support Division Chief in the creation of presentations using PowerPoint.
Proactively manage credentialing / re-credentialing, recertification, and any other periodic certifications or testimonials for all faculty, including but not limited to FCOE, FAR, etc. Provide administrative and operational support. Offer insight to the Division Administrator as to the impact to operations of Divisional plans and impending initiatives.
Qualifications
Minimum Requirements:
This position requires a high school diploma or equivalent, with six years of experience in office or administrative positions. Appropriate college coursework or vocational/technical training may substitute at an equivalent rate for the required experience.
Preferred Education/Experience:
Bachelor's degree and four to six years of administrative experience, preferably in medical practices and/or academic medical practices, and a minimum of one year of supervisory experience.
This position may be subject to a Level 1 or Level 2 criminal background check.
