Role: Office Manager

Location: In office - Lake Tapps, Washington

Position Description

The Office Manager plays a central role in managing the day-to-day operations of CharacterStrong’s physical office while leading the planning, coordination, and strategic execution of high-impact stage and media events. This unique hybrid position ensures that our office environment reflects excellence and hospitality for team members and guests, while simultaneously expanding CharacterStrong’s public presence and influence through speaking engagements, media outreach, and events.

This individual must be highly organized, proactive, and detail-oriented, with strong communication skills and a passion for both behind-the-scenes logistics and public-facing impact. As a key player in both operational and promotional initiatives, this person ensures the internal engine runs smoothly while helping position CharacterStrong as a leader on national stages.

Key Responsibilities

Office Management & Internal Operations

  • Maintain excellence in the main CharacterStrong office in Lake Tapps, WA (cleanliness, organization, maintenance).
  • Keep the office stocked with essentials (supplies, snacks, tech needs, etc.).
  • Prepare the office for team visits and coordinate lodging and logistics for in-office stays.
  • Manage company equipment, tech inventory, and office assets, including the company vehicle.
  • Oversee shipping and receiving logistics for all materials, merchandise, and conference supplies.
  • Coordinate welcome boxes and equipment shipments for new hires.
  • Manage office-related budgets, vendor relationships, and credit card transactions.
  • Organize birthday and anniversary celebrations and maintain tracking systems.
  • Support customer onboarding and general inquiries in coordination with the Business Operations team.
  • Provide administrative support to the Executive Leadership team as needed.

Stages Support

  • Coordinate logistics for all stage engagements, including booth setup, vendor needs, and shipping.
  • Track performance metrics of speaking engagements and media coverage, reporting insights and recommendations.

Required Qualifications

  • 3+ years of experience in office operations, event planning, public relations, or related fields.
  • Exceptionally organized with a knack for logistics and administrative precision.
  • Clear, professional communicator—written and verbal.
  • Skilled at balancing multiple priorities and responding quickly to emerging needs.
  • High comfort level with tools such as Google Suite, Notion, Slack, Zoom, and CRMs (Hubspot preferred).
  • Proven ability to take initiative, practice kindness, and think creatively to solve problems.
  • Able to work on-site at the Lake Tapps, WA office daily.
  • Capable of lifting up to 50 lbs. and managing physical event prep and setup.

Other Duties:

  • Performs other duties as assigned.
