The Executive Office / Operations Administrator supports the firm's executive leadership while helping manage the day-to-day organization and operation of the office. Responsibilities include managing calendars, scheduling meetings, coordinating travel arrangements, and organizing documents related to commercial real estate transactions, receivership matters, client engagements, and other ongoing projects.
Daily responsibilities include maintaining office files and records, preparing correspondence and reports, CRM Maintenance, website and online marketing, handling phone and email inquiries, coordinating office supplies and equipment, and helping ensure the office operates efficiently.
The Administrator will interact professionally with clients, banks, attorneys, vendors, and other business partners; assist with presentation materials and property information; and coordinate internal and external meetings. The role will also include data entry, maintaining CRM and transaction-tracking systems, monitoring deadlines and follow-up items, and assisting with special projects and initiatives as needed.
This is not intended to be a passive receptionist or purely clerical position. We want this person to progressively take ownership of recurring processes, identify what is missing, surface items that require a decision, and close administrative loops without repeated reminders. The Executive Office / Operations Administrator should become the organizational backbone of the office. The role exists to keep people, information, deadlines, documents, systems, and follow-up organized so leadership and brokers can spend more time on client relationships, business development, deal execution, and other revenue-producing activities.
