Job summary

Bethany Christian Services USA LLC in the United States seeks an Office Manager to support administrative operations across our faith-based programs. You will coordinate calls, scheduling, billing, and records, while ensuring compliance with agency, federal, and state requirements.

  • High School Diploma or equivalent.
  • Bachelor's degree in Social Science, Human Services, Behavioral Sciences, or related field preferred.
  • 1–2 years of experience working with clients; management experience is a plus.
  • Prior office manager experience preferred.
  • Knowledge of family, child, or social services preferred.
  • Excellent verbal and written communication skills.
  • Ability to provide excellent and compassionate customer service.
  • Ability to work independently and maintain confidentiality.
  • Reliable with time-sensitive deadlines; able to work under pressure.
  • Proficient with Microsoft Office Suite.
  • Must be 21+ with a valid driver's license and 3+ years of driving in the U.S.
  • Pass MVR check and criminal history screening.
  • Integrity and appropriate training/licensing as necessary.
  • Commitment to agency Faith statements.

Responsibilities

  • Ensure effective operations of the office related to administrative tasks.
  • May oversee Administrative Assistants and other clerical staff.
  • Promptly address incoming calls and route them to the appropriate person.
  • Assist with arranging replacements to ensure adequate staffing for programs.
  • Coordinate on-site duties with supervisory staff to meet program goals.
  • Manage and maintain the record-keeping process and filing system.
  • Maintain appointment schedules and arrange conferences, interviews, and meetings.
  • Run reports and draft correspondence or transcribe notes as requested.
  • Reconcile billing and address errors to prevent profit loss.
  • Sort and distribute branch mail and schedule mail pickups/deliveries.
  • Oversee office supply inventory and order materials as needed.
  • Stay abreast of agency, federal, and state social services requirements.
  • Essential duties may vary by program; may participate in Bethany events.
  • Complete other duties as assigned.

How Your Role Makes a Difference


  • Ensure effective operations of the office related to administrative tasks;

  • May oversee Administrative Assistants and other clerical support staff;

  • Manage and maintain the record-keeping process to ensure there is an effective filing system in which information is forwarded smoothly;

  • Maintain a schedule of appointments, and arrange conferences, interviews, and meetings, as requested;

  • Run various reports, and draft correspondence and/or transcribe meeting notes, as requested;

  • May reconcile and address all billing errors to ensure accurate billing with no profit loss;

  • Sort and distribute branch mail, along with scheduling mail pick-ups and deliveries;

  • Oversee office supply inventory and order approved materials as needed;

  • Stay abreast of all agency, federal, and state regulatory requirements related to social services;

  • Essential job responsibilities may vary based on the specific needs of each program/department;

  • May be required or asked to participate in a Bethany sponsored event;

  • Complete other duties as assigned.


What Will Make You Successful


  • High School Diploma or equivalent;

  • Bachelors degree in Social Science, Human Services, Behavioral Sciences, or related field of study from an accredited college preferred;

  • At least one (1) year of experience working with clients, or at least two (2) years of experience working with clients, strongly preferred;

  • May need at least one (1) year of experience managing others based on the essential function of the role;

  • Previous office manager experience preferred;

  • Knowledge of family/ child/ social services preferred;

  • Excellent verbal and written communication skills;

  • Must have an ability to provide excellent and compassionate customer service;

  • Ability to work independently and exercise a high level of confidentiality;

  • Must be reliable with time sensitive deadlines and tasks;

  • Work well under pressure and adaptable to change;

  • Computer skills sufficient to perform essential functions including knowledge of Microsoft Office Suite;

  • Must be 21 years old with a valid driver’s license with at least 3 years of driving experience in the U.S. to operate a vehicle on behalf of Bethany;

  • Must pass a Motor Vehicle Records (MVR) check and maintain a reliable vehicle with proof of adequate insurance coverage;

  • Pass a criminal history screen, including state and local child protection agency registries;

  • Exhibit integrity and good moral character to provide appropriate care;

  • Possess the relevant experience and/or qualifications to work with these clients and clients with special needs; and, be properly trained and licensed, as necessary;

  • Subscription to and integration of the agency Statement of Faith, Mission Statement, and Commitment to Unity.
